If your association has given you chapter officer permissions, you use the Chapter Center to view your chapter’s members, find a member, sign up or renew someone in person, and download chapter reports. The tasks you see depend on the permissions your association granted you for that chapter.
Prerequisites
- You need to be signed in to the Portal.
- You need at least one chapter officer permission for your chapter. Contact your association if you believe you should have chapter officer access but do not see it.
Opening the Chapter Center
You open the Chapter Center by selecting your chapter's name from your Membership Overview page. The Chapter Center is not a separate item in your Portal menus, and the link only appears and works when you belong to that chapter.
View Your Chapter's Roster
- Open the Chapter Center for your chapter.
- Choose View <Chapter> Roster from your chapter's task list. (Your association's own term for "chapter" replaces <Chapter> throughout the Chapter Center.)
Result
You see a list of your chapter's members, including each member’s name, membership type, status, and expiration date. If someone holds a membership through another member, such as an inherited or flowdown membership, it can appear on their own membership record without appearing on this roster or in a downloaded chapter report. The roster and report only include memberships that belong to the chapter directly.
Warning
View <Chapter> Roster only appears if your association has granted you that permission for this chapter. If you do not have that permission, the roster will not open even if you see the task.
Tip
Some chapters have thousands, or tens of thousands, of members. Because of that, your association may give roster access only to specific chapter officers rather than to everyone.
If a Member Seems to Be Missing from the Roster
A member has been reported missing from the roster when the underlying membership record has not been refreshed. In some cases, opening the member's own membership record and saving it again, without changing anything, has resolved the issue. When the missing member belongs through an organization, removing them from the organization's membership roster and adding them back after resaving the organization's own contact record has also been reported to help. If the member still does not appear, contact your association.
Look Up a Member and See What You Can Do for Them
- From your chapter's roster, select a member's name.
Result
You see the member's basic contact details, the summary your association designed, and the tasks your permissions allow for that member. Depending on your access, you can update their contact information, update their membership information, or renew them.
If the Member's Details Won't Load
Roster access by itself does not let you view a member’s contact details. You also need permission to read contact information, sign up new members, or renew existing members. If you have only roster access, or only permission to update contact information, opening a member shows an error instead of their details.
Add a New Member
- From the Chapter Center home, choose Register a New Member.
- Enter the new person's first name, last name, and email address.
- Save.
Result
Rhythm creates a new contact for that person and takes you straight into their membership application, so you can complete their sign-up in one visit.
Warning
This creates a new contact every time you save, without checking for an existing one. If the person may already be in your association's records, check with your association first so you do not create a duplicate.
Sign Up or Renew a Member in Person
From a member's page, you see one link for each membership process you can use to renew them, if your permissions allow renewals. Choose a link to run your association's regular membership application for that member. Pricing, chapters, sections, and add-ons work the same way they would if the member applied themselves, and your chapter is automatically added as their primary chapter. Rhythm does not have a way to renew every member of your chapter at once, so you complete this process one member at a time.
- From the member's page, choose the process link for the renewal you want to run.
- Complete the application on the member's behalf, and check out to finish it.
Result
The member's application is processed, and your chapter is set as their primary chapter. If they already had a different primary chapter, that chapter is kept as an additional chapter instead of being replaced.
New members you just added go directly into this same application step, where you complete their first sign-up.
Update a Member's Contact Information
If your permissions include updating contact information, and you can also read the contact as described above, you can update a chapter member's contact details from their page.
Update a Member's Membership Information
Your chapter's roster may show Update Membership Info for a member, if your permissions allow it. The fields you can change depend on the page layout your association chose for this task.
This Option May Not Save Your Changes
Whether a change saves depends on several parts of your association's setup, including whether the layout includes every field the form requires. If you make a change here and it does not appear to save, do not assume it was recorded. Check the member's record again, and contact your association if the update did not take effect.
Download a Chapter Report
If your association has given you access to one or more chapter reports, those reports appear as links on your Chapter Center home.
- From the Chapter Center home, choose the name of the report you want.
Result
The report downloads as a spreadsheet and includes only members from your chapter. It always downloads in this one format, no matter what formats the report offers elsewhere.
