Connecting QuickBooks Online lets Rhythm send journal entries from posted batches to your QuickBooks company’s general ledger, using the accounts you already maintain there. Rhythm sends summarized debits and credits based on your Finance & Billing setup. It does not send transaction-level detail, invoices, payments, or customer records. Rhythm supports QuickBooks Online only and does not connect directly to QuickBooks Desktop.

Prerequisites

  • Your account must be entitled to the QuickBooks Online integration. If it is not, contact your Customer Success Manager.
  • You need a QuickBooks Online company and sign-in credentials that can authorize third-party access.
  • You need to be signed in to Console for your account.

Connecting a Company

  1. Go to Integrations › Quickbooks Online.
  2. Select Create Quickbooks Online Account.
  3. Rhythm sends you to QuickBooks Online to sign in and approve the connection.
  4. After you approve the connection, QuickBooks Online returns you to the form. Enter a Name for the connection.
  5. Choose the automation switches described below, and add any notification email addresses.
  6. Save.

Result

The connection appears on the QuickBooks Online list, along with its connected company and the current state of each automation switch.

You can connect more than one QuickBooks Online company to your account. The integration originally supported only one connected company, but Rhythm now supports additional connected accounts. If another business unit uses a separate QuickBooks company, create another connection the same way you created the first.

Each business unit’s financial software integration names the connected QuickBooks Online account that should receive its batches. If that target account is missing, the business unit’s batches can appear to process normally in Rhythm while nothing arrives in the QuickBooks company you expected. If batches for a second connection never show up, check that setting before you assume the push failed.

Warning

Every time you open the Create or Edit form for a QuickBooks connection, Rhythm sends you to QuickBooks Online to approve the connection again, even if you only want to change a setting. You cannot change a connection’s name, switches, or recipients from Console without completing that approval step.

The Settings

Setting Options Default Effect
Send Batch to Quickbooks Automatically on Post On, off Off Sends a batch to QuickBooks Online as soon as it posts successfully in Rhythm
Delete Batch from Quickbooks Automatically on Unpost On, off Off Removes the matching entry from QuickBooks Online when you unpost the batch in Rhythm
Enable Connection On, off The form always saves this as on Intended to mark the connection active or inactive
Notification Email One or more email addresses None Email addresses Rhythm notifies with the results of sending a batch

You do not need to turn on the automatic switches to use the integration. If you leave them off, you can send a batch to QuickBooks manually. Post the batch in Finance & Billing, open it, and select Download this Batch or choose Download... from its Batch Options menu. Because the business unit’s financial software integration is set to QuickBooks Online, that download action sends the batch to QuickBooks Online instead of producing a file. Rhythm reports success or failure right away, just as it does for an automatic send.

Only a batch that has posted successfully in Rhythm should ever reach QuickBooks Online, whether you send it automatically or manually. If an errored or still-unposted batch appears in QuickBooks Online, or if a batch posts there twice after it is later fixed and posted for real, contact Support. Treat that as a defect rather than something to correct in QuickBooks.

A batch’s status in Rhythm reflects Rhythm’s own posting, not the QuickBooks Online send. A batch can show as Posted in Rhythm while its push to QuickBooks Online is still pending or has failed, so check the notification email or the batch’s send result before you assume it reached QuickBooks Online. When a push fails because of a missing account, Rhythm’s result identifies the missing account.

Tip

When Delete Batch from Quickbooks Automatically on Unpost is on, unposting a batch in Rhythm also removes it from QuickBooks Online, and reposting resends it. When this switch is off, unposting the batch in Rhythm does not affect QuickBooks Online, so you need to remove the entry there yourself if you no longer want it. In either case, this automatic removal and resend applies only to a batch that was sent to QuickBooks Online automatically. Rhythm does not track a manually sent batch the same way, so unposting and reposting it does not remove the prior entry for you.

Warning

Downloading or sending a batch manually does not clear its QuickBooks send information afterward, unlike the automatic path on unpost. Selecting Download this Batch again, even by accident, sends the batch to QuickBooks Online again and can create a duplicate journal entry. See Duplicate Journal Entries below for how to avoid and clean up repeats.

Warning

The Enable Connection switch on the create and edit form always saves as on, so you cannot turn off a connection from this form. If you no longer use a connection and it should not be available, remove it instead, as described below.

Dependencies and Precedence

A QuickBooks connection does not send anything on its own. The business unit also needs its financial software integration set to QuickBooks Online, with a batch download method selected: Summary, Batch-Level Summary, or Detail. Detail sends every transaction as its own line instead of one summarized total. It does not add fields such as attendee, event, or transaction-date information beyond what the QuickBooks Online export already carries, so Detail gives you more lines, not richer context. You set this up in Finance & Billing, not here. If the financial software integration is anything other than QuickBooks Online, including its default of Other, Rhythm sends nothing automatically for that business unit’s batches even though they otherwise process normally in Rhythm. Trying to download a batch manually in that state can also fail with an error naming the missing setup. If you use Accounting Projects or Departments, set those up and reference them from your financial configuration too; see Departments and Accounting Projects below.

Your business unit’s financial software integration also offers a plain Quickbooks option, separate from Quickbooks Online. Choosing Quickbooks produces a downloadable export file formatted for QuickBooks Desktop instead of connecting to the online integration described here. This is the manual, file-based workflow customers on QuickBooks Desktop use, and it does not need a connection here. If a batch push to QuickBooks Online fails and you need the batch right away, you can temporarily switch the business unit to Quickbooks to download it as a file, then switch back to Quickbooks Online once the push problem is resolved.

Rhythm does not create or change your QuickBooks chart of accounts. Before you send batches, create the general ledger accounts in QuickBooks Online and match each account’s code to the G/L code you use in Rhythm. Rhythm matches on the code, so the account’s name in QuickBooks does not also need to match its name in Rhythm. If Rhythm sends a batch that references an account QuickBooks does not have, the batch push fails and identifies the missing account. If an account exists but is mapped to the wrong code, the batch’s amounts can post to the wrong QuickBooks account, or part of the batch’s expected values can be missing, without the push necessarily failing. A push failure is specific to the batch and the accounts it references, not the whole connection. Other batches in the same business unit can continue posting normally as long as they only reference accounts that already exist. If the account you mapped is a subaccount in QuickBooks Online, check the subaccount itself, not just its parent, when you confirm a posted batch landed where you expected. If a batch posts to a different QuickBooks account that shares the same name as the one Rhythm sent, check your QuickBooks chart of accounts for more than one account using that name. QuickBooks Online can resolve a posting by name in a way that does not match the code Rhythm sent.

Re-downloading an older, already posted batch can surface the G/L account mapping that was in effect when its transactions were originally created, even if that account no longer appears on your current account list. If a re-download names an account you do not recognize, check whether the batch’s transactions predate a later change to your chart of accounts.

If your account uses multi-currency and an invoice carries a currency other than your business unit’s base currency, review the amount that reaches QuickBooks Online after a batch syncs. A QuickBooks Online batch sync can post the amount as a plain number without carrying over the original currency code or symbol, which can lead QuickBooks Online to treat the transaction as base currency. After you send a multi-currency batch, review its entries in QuickBooks Online and reconcile them against Rhythm’s own currency records if anything looks off.

Departments and Accounting Projects

If you use Departments, enable them in QuickBooks Online, create the matching department records there, and create the corresponding departments in Rhythm. If your account already uses locations or departments in QuickBooks Online, make sure each one also exists in Rhythm. Match each department’s code or name in Rhythm to the department name you use in QuickBooks Online. Set up Accounting Projects the same way, matching each project’s code or name to the class you use in QuickBooks Online.

Departments and Accounting Projects affect what Rhythm sends only after you reference them from your financial configuration. When they are set up correctly, Rhythm carries the department and accounting-project classifications from your financial setup and your products into the QuickBooks Online data for a posted batch’s subledger entries. An Accounting Project is sent as QuickBooks Online’s Class, and a Department is sent as QuickBooks Online’s Department. In QuickBooks Online, classes and department-style tracking need to be turned on before either field is populated, regardless of what your settings dropdown calls that tracking. The traditional batch download template includes Accounting Projects as its own Class column. If you need Departments or Locations reflected in that same download, confirm your download template includes them, since an older template may not.

Warning

Department support in QuickBooks Online can lag behind Department support elsewhere in Finance & Billing. If you rely on Departments, confirm your posted batches show the expected department in QuickBooks Online before you depend on it for reporting.

Removing a Connection

Open Integrations › Quickbooks Online, then delete the connection you no longer use. Removing a connection does not check whether a business unit still uses it for its financial software integration. If a business unit still points to that connection, QuickBooks sending stops working for that business unit until you reassign it. Removing your account’s entitlement to QuickBooks Online does not remove or pause existing connections; they still appear on the list and keep working.

Reauthorizing a Connection

If a finance process that depends on QuickBooks starts failing, such as batches no longer sending, the connection’s authorization with Intuit may have lapsed. Reauthorize it from the integrations area where you manage the connection:

  1. Go to Security & Settings, then Integrations.
  2. Select QuickBooks.
  3. Open the connection and sign in to QuickBooks Online when prompted.
  4. Save the connection, then retry the finance action that was failing.

Reauthorizing sends you to QuickBooks Online again, just like editing the connection. Any unsaved changes you made on the form before starting reauthorization are lost, and you must save again after you return for the new approval to take effect.

You need Console access to reach and manage a QuickBooks connection, including reauthorizing one. If the staff member who originally connected the QuickBooks Online company has left or no longer has Console access, grant access to the person taking over before they try the steps above.

Reauthorizing is especially likely to help if the password for the connected QuickBooks Online account changed recently, since that is a common reason an existing authorization stops working. If the QuickBooks Online credentials have not changed and reauthorizing does not resolve the failure, escalate the issue instead of retrying the same step.

When you return from QuickBooks Online, the connection’s page can show a success-style message saying QuickBooks security information was retrieved, even when the connection did not actually save. A QuickBooks confirmation email telling you the connection to Rhythm was approved does not guarantee the connection saved either, because that email only confirms the QuickBooks side of the approval. Confirm the connection actually saved before you consider reauthorization complete, and try again if it does not save the first time. If you are troubleshooting a batch that will not post with Support, they may ask you to re-save the QuickBooks Online connection under System & Security › Integrations › QuickBooks before they continue investigating, since a successful save is often needed first.

Reauthorizing addresses only a lapsed authorization. If batches still fail to post after you reauthorize and retry, the cause is more likely a posting error, such as a missing G/L account, than a connection problem; see Validation and Errors below. A batch sync can also fail while Rhythm refreshes its QuickBooks authorization in the background, which is separate from the reauthorization you do by hand. If this happens, the batch’s send may be left incomplete, so reauthorize the connection and resend or repost the affected batch.

After Support resolves an integration problem, you usually need to repost or resend an already-posted batch, then check QuickBooks Online to confirm the entries arrived. If a broader reconciliation found specific batches that never reached QuickBooks Online, repushing just those batches is usually enough to restore them instead of running a full re-sync. Verify each one in QuickBooks Online afterward.

Permissions

You need to be signed in to Console for your account to reach and save a QuickBooks connection. Rhythm does not identify a more specific permission for this task.

Validation and Errors

What you see Cause Fix
The save fails after you return from QuickBooks Online Your account is not entitled to QuickBooks Online, or you did not select the QuickBooks company Confirm the entitlement with your Customer Success Manager, then complete the QuickBooks Online authorization step again
A batch push names an account that was "not found" The G/L account referenced by the batch does not exist in your QuickBooks Online chart of accounts Create the matching account in QuickBooks Online with the same code, then resend the batch
Reposting an older batch still fails on an account you have already renamed or recoded The batch's original entries reference an Accounts Receivable or other G/L account under its earlier name or code Create or restore the account in QuickBooks Online under the name or code the original batch expects, then repost
Rhythm shows the expected G/L account for a batch, but the entry lands in a different QuickBooks Online account The export leaving Rhythm may be correct while QuickBooks Online's own account mapping directs the entry elsewhere Open the batch's Subledger Entries in Rhythm to confirm the account Rhythm sent, then check that account's setup on the QuickBooks Online side
Unposting an old batch reports it could not be removed from QuickBooks Online The batch was posted before you turned on automatic deletion, so Rhythm has no record of sending it Remove the entry from QuickBooks Online yourself before reposting, to avoid a duplicate
Rhythm shows a batch as successfully sent, but nothing appears in QuickBooks Online QuickBooks Online does not accept a batch payload with no posted subledger entries to send Confirm the batch has posted subledger entries before resending; contact Support if entries are missing

If a batch is sent more than once and creates duplicate journal entries in QuickBooks Online, automatic cleanup removes a duplicate only when its line items are an exact match to another entry. A suspected duplicate with different or incomplete line items is not removed automatically. Review and confirm those entries by hand before deleting them.

Changing your QuickBooks export configuration, such as turning off an automatic send switch, changes only what happens going forward. It does not clean up entries that were already duplicated under the old configuration. You need to remove those by hand, as described under Duplicate Journal Entries below.

QuickBooks Online journal entries created by Rhythm carry the Rhythm batch number in the Memo field. The QuickBooks Number (Num) field is left blank, and Rhythm does not currently give a journal entry a unique Rhythm-generated identifier of its own. Because the Number field is blank, reversing one of these journal entries in QuickBooks Online can produce a reversal label such as "undefinedR" instead of a normal reversal number.

A batch’s audit history can show an automated, scheduled update to its dependency information that ties it to another batch for unpost tracking. That entry is only a metadata relationship update. It is not evidence that the batch’s transactions were sent to QuickBooks Online a second time.

If you manually add a line item to an order or invoice, add it before the invoice moves into a batch. There have been cases where a line item added very late did not appear in a batch’s QuickBooks Online export. If an amount you expect is missing from what QuickBooks Online received, check the transaction’s subledger entries in Rhythm, then resend the batch.

Duplicate Journal Entries

Duplicate entries in QuickBooks Online usually trace back to a batch being sent more than once. The most common causes are:

  • Repeated manual sends. Selecting Download this Batch sends the batch to QuickBooks Online again every time, whether or not it was already sent, because a manual send does not clear the batch’s send information the way an automatic send followed by an unpost does.
  • Unposting and reposting an old batch without cleaning it up first. See the tip under The Settings above for when this applies.
  • Reopening a batch and posting it again in a later period. A batch that already posted and sent successfully can send a second time if it is reopened and posted again, even under a different fiscal period.
  • A batch referencing another batch that previously errored or did not post. An unposted or errored batch can be pulled in when a related batch posts, so it appears in QuickBooks Online and then posts again on a later retry. If posting seems blocked this way, filter to every batch currently in an error status and post them together, so any batch they depend on is included in the same attempt.
  • Downloading two batches that overlap. If your batch assignment rules changed so that, for example, a cumulative batch now repeats transactions already included in another batch for the same period, downloading both sends the same transactions to QuickBooks Online twice. Confirm your batches are meant to be mutually exclusive before you download more than one for the same period.
  • A retriggered batch lifecycle. In rare cases, a batch that already finished processing can show its status changing again, including a new downloaded timestamp, without anyone resending it by hand. If this keeps happening after you have ruled out the causes above, it may point to a defect that Support and Engineering need to review.

After you change a setting to address duplication, validate the fix by watching newly posted batches for further duplicates instead of rechecking history. Treat existing duplicates as separate, historical cleanup.

  1. In QuickBooks Online, compare the suspected duplicate journal entries line by line. Entries with identical line items are the clearest duplicates. Entries that are only similar, with a few different line items, usually need a closer look from your accounting team before you remove anything.
  2. Check each entry's Description text. This is where Rhythm's integration writes wording that shows the entry came from Rhythm, which helps rule out an entry created some other way.
  3. Note each entry's QuickBooks journal entry ID and created date and time, and check QuickBooks Online's own audit history for it.
  4. In Rhythm, open the batch's Subledger Entries to confirm what Rhythm actually sent, and compare that against a QuickBooks Online transaction-detail export for the same period if you are reconciling several batches at once.

Only remove a QuickBooks Online entry when you can confidently confirm it is a duplicate. After you clean up confirmed duplicates, resend the affected batch so QuickBooks Online has one correct copy of it. If duplicate postings continue after cleanup and a configuration change, escalate to Support rather than repeating the manual cleanup indefinitely.

Reconciling with QuickBooks Online

To confirm a posted batch reached QuickBooks Online, open the account it should have posted to in QuickBooks Online’s chart of accounts and run its report for the relevant dates. You can also open the batch in Rhythm and review its Subledger Entries. Comparing both sides is more reliable than checking only whether Rhythm shows the batch as sent.

A QuickBooks Online journal entry will not always reconcile one-to-one with a Rhythm batch by date alone. Deposit timing from your payment processor, and how it groups funds by payment type, can shift when an amount actually settles. A weekly batch or other funds included in a later deposit can also change the total you see for a given date. Check the batch’s own contents, not just its label or date, before you conclude an amount is missing.

If exported revenue does not appear where you expect it in QuickBooks Online, confirm whether it was deferred rather than missing. A product set up to recognize revenue over time credits deferred revenue at the time of sale, not revenue, so income that looks absent may simply not have been recognized yet. Check your deferred revenue account and revenue recognition schedule before you assume a batch failed to export.

When you need to reconcile a larger discrepancy, export QuickBooks Online’s transaction detail for the date range in question. Compare it against a Rhythm Subledger Entries report for the same period, by day and amount. Use that comparison to identify both missing and duplicate entries, then repost or resend only the batches you identified as affected.

Getting Transaction Detail Elsewhere

QuickBooks Online receives journal entries, not transaction detail. If your bookkeeper needs line-item detail, give them Rhythm access limited to what they need, use the batch download template, or schedule a recurring Invoices or Payments query to deliver detail on a set cadence.

If you use the Summary batch download method, its output includes Account, Date, Transaction Type, Memo/Description, Amount, and Balance.
