Fund categories, funds, and fundraising products are managed together, but staff and Portal members access them in different ways.
What This Controls
This article explains who can open, create, edit, and delete fund categories, funds, and fundraising products in the Console. It also explains what a signed-in Portal member can read about those records. Campaigns, appeals, and donor clubs have their own access rules, so they are not covered here.
Where to Find These Pages
Fund categories, funds, and fundraising products are each managed on a separate Setup page:
- Fundraising & Gifts › Setup › Fund Categories —
Manage Fund Categories - Fundraising & Gifts › Setup › Funds —
Manage Funds - Fundraising & Gifts › Setup › Products —
Manage Fundraising Products
Staff Access
| Who | Access |
|---|---|
| Staff with fundraising setup access | Full access to create, edit, clone, reorder, and delete fund categories, funds, and fundraising products |
| Staff without fundraising setup access | If your Rhythm account checks permissions, these three pages do not open for you |
If your Rhythm account has permission checking turned on, you need fundraising setup access to open any of these three pages or delete a row from them. Your administrator grants that access through a role. Without it, the page simply does not open. If your Rhythm account does not check permissions this way, every signed-in staff member can open all three pages and use every action on them.
What a Portal Member Can See
Signed-in Portal members cannot open these Setup pages, but the records behind them help power your donation forms. Through the donation or giving element on your Portal page, a signed-in member can:
- Read any individual fund, including a fund that is inactive or hidden from staff-facing pickers.
- List every fund in your Rhythm account, including inactive and hidden funds.
- List your fund categories, but not open the details of one category directly.
A signed-in Portal member cannot change a fund, category, or product in any way. They also cannot read an individual campaign, appeal, or fundraising product, because the Portal refuses those three record types entirely. Visitors who are not signed in cannot perform any of these reads.
Warning
Because a Portal member can list and read every fund in your Rhythm account, including funds you have hidden or made inactive, do not rely on hiding or deactivating a fund to keep it out of a custom-built giving form. Anything that reads the fund list directly can still show it.
Dependencies and Precedence
Deleting a fund category, fund, or product is blocked when another record still refers to it. For example, you cannot delete a fund category that still has funds in it, or a fund whose product is named by a campaign or appeal override. Those reference checks apply no matter who tries to delete the record, in addition to the access rules on this page.
