Your contact record is the profile Rhythm keeps for you personally. In the Portal, you can view and update parts of your own record. If you belong to an organization, you can also work with some information for that organization’s other contacts. This article explains what you can do and where the limits are. For screen-by-screen steps, use the related articles below.
Your Own Record
You can always view and update your own contact record in the Portal. Most of your record is available to you, including a few fields you might not expect:
- Your status. You can make your own record inactive. If you do, your Portal sign-in can stop working, and your record can be hidden from lists elsewhere in Rhythm, so change this only when you mean to.
- Your organization. You can choose which organization you belong to. That choice gives you access to that organization’s other contacts, as described below, and can also give you any roles the organization assigns automatically.
- Your name and sign-in credentials, only until you save your profile for the first time. After that, your association can lock those fields. See Update Your Contact Profile to learn how that lock works and where to change your profile.
You cannot delete your own contact record from the Portal. Portal members do not have access to delete contacts.
Your Organization's Other Contacts
If your contact belongs to an organization, you can usually view and update other contacts in that same organization. You get that access because you share the organization, not because of a specific role. The actions you see, such as adding, editing, or removing a colleague, depend on your contact role’s permissions. Manage Your Organization's People explains those actions in full, including what happens when you remove a colleague from your organization.
Tip
Because you choose your own organization, changing it also changes which contacts you can access. If you move yourself to a different organization, you gain access to that organization’s people instead.
What an Email Lookup Shows You
Some Portal forms let you check whether an email address already belongs to a contact, such as when you add a new colleague or sign up. When you run this lookup as a Portal member, each match shows only a short summary: a record ID, the organization, first and last name, email address, and full name. The lookup does not show the matching contact’s full record.
Warning
The record ID in that summary is the contact's record ID, the same one your association's staff use to look up a record. A number you see elsewhere on your own profile is not always the same ID, so if a staff member or Support asks you to confirm your record's ID, use the one they ask for instead of assuming another number is the same value.
What the Portal Never Lets You Do
Some contact actions are not available to Portal members, regardless of your role or organization:
- Searching broadly across every contact
- Deleting a contact
- Looking up a contact's second or third email address, or by phone number
- Merging, batch, or export operations on contacts
Association staff can still do these actions in the Console.
