If you manage your organization’s relationship with the association, you can use the Portal to manage your organization’s access. You can add people, update their details, and remove someone when they leave.
Before You Begin
Prerequisites
- You are signed in to the Portal, and your contact belongs to an organization.
- Your contact role must let you view your organization’s contacts. If it does not, you see a message that you do not have permission. If your contact does not belong to an organization, you see a different message explaining that.
- Adding, editing, and removing people each require a separate permission. If you do not have permission for an action, its button does not appear.
See Your Organization's People
- Go to My Profile › My Organization's Contacts.
Result
You see everyone attached to your organization, including each person’s number, name, job title, roles, and membership status. Membership status appears in title case, uses one color for active people and another for suspended or inactive people, and shows "Non-Member" when no membership is on file.
If your organization does not have any people attached yet, the page shows a message instead of the list. The list does not show email addresses, but you can still filter by email address.
Filter and Sort the List
Type in the filter box above the list to show only people whose name, job title, or email address contains what you entered. The filter ignores capitalization, and it matches email addresses even though the email column is hidden.
Select a column heading — number, name, title, or membership status — to sort by that column. Select the same heading again to reverse the order. You cannot sort by role.
Add a Person
- From the list, select Add New Contact.
- Fill in the form your association has set up for adding a person to your organization.
- Save.
Result
The new person is created, attached to your organization, and shown when you return to the refreshed list.
If no add form has been set up for organization administrators, you see a message instead of a form. Ask the association to set one up.
Edit a Person
Select Edit on the person’s row, make your changes in the form, and save. You return to the refreshed list.
Tip
If the person has saved their own profile before, and your association restricts name or credential changes, those fields may also be locked on this form.
Remove a Person from Your Organization
Removing a Person Detaches Them; It Does Not Delete Them
Removing a person here takes them off your organization’s list and clears their roles at your organization, but it keeps their contact record. This is different from removing a sub-organization on Manage Your Organization, which deletes the sub-organization’s own record entirely.
A contact can be attached to only one organization at a time, not multiple organizations simultaneously, so removing them here is the only way to end their organization association.
- Select Remove on the person’s row.
- Confirm when asked.
Result
The person is detached from your organization. Their organization association and roles at your organization are cleared, and your organization’s history keeps a record that they used to belong to it. The list refreshes without them.
Warning
You can remove yourself this way. Doing so immediately takes you off your own organization’s list and removes any organization permissions that came with belonging to it.
