The Send Notice control is covered in Send a Notice to a School. This article explains who can see that button, which contacts receive a notice by default, and what Rhythm records after you send it.
What This Does and When to Use It
Use this article if you manage permission to send notices, need to understand why a notice reached more or fewer people than expected, or want to know whether Rhythm confirms that an email arrived.
Prerequisites
- You need permission to send notices, as covered in the companion article.
Who Can See the Send Notice Button
One Permission Covers Both School and Team Notices
The same permission that shows the Send Notice button on a school record also shows the equivalent send button for team notices on a site visit. There is no separate permission for school notices and team notices. If a staff member can send a school notice, they can also send a team notice, and vice versa.
Which Notices You Can Choose
The picker shows only notices that are currently active. If you do not see a notice you expected, check whether it has been made inactive.
Your Last Choice Is Remembered
The dialog remembers the last notice you selected in your browser and preselects it the next time you open the dialog, even for a different school. Always confirm that the selected notice is the one you want to send before you confirm.
Who Receives the Notice by Default
Unless the notice is limited to specific contact roles, Rhythm sends it to every contact on the school’s record who has an email address. You cannot narrow that audience by contact status. A role-restricted notice goes only to emailable contacts who hold one of the notice’s selected roles, as covered in the companion article.
What Happens After You Send It
After you confirm the send, Rhythm hands the email to the platform’s email delivery for each eligible contact. The notice counts as sent at that point. Delivery happens afterward, and Rhythm does not report delivery results back to the school’s notice history. If a contact’s address bounces or the message is never opened, the school record does not show that.
A Contact Without an Email Address Is Left Out Silently
If a school contact has no email address on file, Rhythm leaves them out of that send without adding a note that says how many contacts were skipped or who they were. If someone at the school says they did not receive a notice, check their contact record for an email address before assuming something else went wrong.
This Is the Same Send a Billing Run Uses
Sending a notice from a school record and sending one through a billing run use the same underlying send, so the accreditation notice behaves the same way from either path. The difference is scope: from a school record, you send to one school at a time; in a billing run, Rhythm applies the same send to every school that matches the billing run’s filters.
