Accreditation includes reusable notices, such as reminders and decision letters, that you can send to one school from its record. Use this option when you do not need to set up a billing run. This article explains how to send a notice, who receives it, and what happens when Rhythm cannot send it. A separate article, Send an Accreditation Notice to a School, explains who can see the send control and how the email is handed off for delivery. To send the same notice to many schools at once, see Create or Edit a Billing Run.
What This Does and When to Use It
Use this when one school needs a notice right away, instead of waiting for the next scheduled billing run. For example, you might resend a reminder after a school says it never received one, or follow up on one overdue item.
Prerequisites
- The school must have an accreditation in your current program. Otherwise, the Notices tab and its send button are not shown.
- You need permission to send notices. Without it, the button does not work for you.
- At least one active notice must exist for you to choose from.
Send a Notice
- Go to Accreditations › Schools, search for the school, and open it.
- Select the Notices tab.
- Select Send Notice.
- In Select a Notice:, choose the notice to send.
- Confirm the send.
Result
A success message confirms that the notice was sent, and the Notices tab refreshes with the new entry at the top of the school's history.
Who Receives It
By default, the notice goes to all of the school's contacts who have an email address on file. If the notice is set to reach only certain contact roles, only contacts with one of those roles receive it. A renamed role still matches correctly, but a role that was deleted and recreated does not.
If Nobody Qualifies, the Send Still Fails — After It Is Recorded
If the school has no eligible contacts, Rhythm refuses the send and explains that the school has no valid contacts to receive the notice. The notice is still recorded in the school's history before that refusal, so you may see an entry even though no email was sent successfully.
What the Email Includes
The notice email uses details from the school's own accreditation, including its program, organization, owed reports, and membership. If you change the school's phase, an owed-reports mention can take a little while to reflect that change if it has not recalculated yet.
If Sending Fails
- The accreditation or the notice cannot be found. This can happen if either one was removed after you opened the page but before you sent the notice. Open the school again and try once more.
- No valid contacts to receive the notice. See "Who Receives It" above. The notice is recorded in the school's history even though nothing was emailed.
- Sending the same notice twice. Nothing stops you from sending the same notice to the same school more than once. Each send adds its own history entry and its own email, with no warning that it duplicates an earlier one.
