A mirrored space does not collect submissions directly. It receives copies of records from another application, such as membership applications, certification applications, or accreditation reports. By default, every eligible record of that kind flows into the space. Use these filters when you want the space to review only certain records.
Prerequisites
- Your space's Type must already be set to Membership Application, Certification Application, or Accreditation Report. These filters do not apply to Portal-form spaces.
- For a membership or certification filter, the membership types, packages, chapters, or certification programs you want to use must already exist in Membership or Certifications.
Where to Find It
Open the space's create or edit screen at Submissions › Spaces, then scroll to the filter card for that space type. Rhythm shows one card, and it matches the space's type.
Only Certain Statuses Ever Arrive
Before these filters apply, Rhythm first checks whether the record is at the right stage to be copied.
| Space kind | Records copied |
|---|---|
| Certification Application | Only applications with a status of pending approval |
| Membership Application | Only applications with a status of under review |
| Accreditation Report | No status restriction |
For certification and membership spaces, the create and edit screen shows a one-line reminder next to the Type field. Records in any other status are never copied into the space, no matter how you set the filters below.
Reaching the right status does not automatically put a record in the space. Rhythm copies qualifying records when the space's own maintenance-based repopulate step runs, not necessarily right after a record reaches pending approval or under review, or right after you save a configuration or filter change. If applications you expect are not showing yet, see Repopulate a Mirrored Space instead of assuming the filters are wrong.
The Settings
| Setting | Options | Default | Effect |
|---|---|---|---|
| Membership applications: types, packages, chapters | Include specific / Exclude specific / All included | All included | Limits copied membership applications by the application's membership type, package, or chapter |
| Certification applications: programs | Include specific / Exclude specific / All included | All included | Limits copied certification applications by program |
| Accreditation reports: programs | Include specific / Exclude specific / All included | All included | Limits copied accreditation reports by program |
| Synchronization Filtering Rules | On/off switch, then a rule condition builder | Off | Adds a point-and-click condition the record must meet before Rhythm copies it. Available for every mirrored kind |
| Synchronization Filtering Expression | On/off switch, then a typed expression | Off | Adds a formula-based condition instead of one built in the rule editor. Available for every mirrored kind |
When you choose Include specific or Exclude specific for a type, package, chapter, or program list, you must select at least one item. Rhythm will not save an empty include or exclude list.
Warning
If you delete a membership type, package, chapter, or certification/accreditation program that a space's filter already uses, Rhythm does not automatically remove that saved item from the filter. It simply stops matching anything.
Rule Sets and Expressions
The rule editor and expression editor check records only as they arrive. Turning on or changing a filter does not re-check records already in the space. If you tighten a filter after the space has been receiving records, existing records stay where they are, and only new incoming records are checked against the new rule.
A rule set lets you build conditions using details about the contact, organization, space, submission, and source record, such as a certification application, award application, membership application, or accreditation report. An expression lets you write the same kind of condition as a typed formula.
Warning
When you edit an existing accreditation-report space, its saved program filter does not load into the form. The edit screen shows the certification-application filter fields instead, and those fields are usually empty. If you save the space without re-entering the accreditation program filter you want, Rhythm overwrites your existing filter with whatever the form shows. Before saving changes to an accreditation-report space, re-check and re-enter its program filter instead of assuming it is still there.
Warning
The synchronization expression editor always starts blank when you edit an existing space, even if an expression is already stored. If the expression switch is already on, you must retype the expression before you can save. Rhythm treats the blank box as invalid and blocks the save until you enter it. If you leave the switch off, your previously stored expression is not shown, but Rhythm preserves it when you save.
Permissions
Setting or changing these filters uses the same permission as editing the space (submissions:user:spaces:edit, or create permission for a new space). There is no separate permission for the filter settings.
Validation and Errors
Rhythm will not save the space if an include or exclude list is empty while that filter mode is selected. Filter changes save as part of the whole space record, so any other invalid required field blocks the entire save, including your filter changes, until you correct it.
