Cloning a space copies an existing space’s setup into a brand-new space without bringing over submissions or reviews. For example, you can use this year’s conference abstract space to build next year’s cycle.
Prerequisites
Your role must let you open the clone page and create spaces.
Clone a Space
- Go to Submissions › Spaces, then choose Clone an Existing Space.
- Under Which space should we clone?, search for and choose the space you want to copy.
- Enter a Name: for the new space. Rhythm suggests an ID: from the name, and the new space uses the same kind of space as the source. For example, a Portal-form space clones into another Portal-form space.
- Set the new space’s Submission Start: and Submission End: dates, if you are cloning a Portal-form space.
- Choose whether the new space Should this space be visible in the portal?. If it should, set its Start Showing in Portal On: and Stop Showing in Portal On: dates.
- Choose Clone Space.
Result
Rhythm creates the new space and opens it. The new space starts with the same status as the source, so an open source creates an open copy, and a closed source creates a closed copy.
What Gets Copied
Cloning copies the source space’s setup, not the work that happened in it:
| Copied | Not copied |
|---|---|
| Submission types | Submissions |
| Submission processes | Reviews |
| Review buckets | Reviewer assignments |
| Review rounds, with their bucket-to-team assignments | — |
| Review teams | — |
| Review settings and bucket assignment rules | — |
References to records in other applications still point to the same records the source space used. This includes programs, membership types, chapters, contact roles, security roles, and page layouts. Cloning does not redirect those references for you.
Setting the Copy's Own Dates and Visibility
The submission window and Portal visibility work differently from the rest of the copied setup. Rhythm does not copy those dates from the source automatically. If you leave Submission Start:, Submission End:, Start Showing in Portal On:, or Stop Showing in Portal On: blank, the new space has no date in that field, even if the source did.
Warning
Should this space be visible in the portal? defaults to yes when you clone a space, no matter how the source space was set. If you want to keep the new space hidden while you finish setting it up, choose no before saving. Do not assume the copy will start hidden because the source was hidden.
Change Impact and How to Revert
Cloning creates a brand-new space and does not change the source space. There is nothing to revert on the source. If the new copy is not right, correct it or delete it directly, just as you would with any space you created by hand.
Warning
If one part of the copy fails partway through, such as copying the review teams, the new space already exists with only some of its setup copied. If you try to clone again with the same identifier, Rhythm refuses it as a duplicate. If a clone looks like it stopped partway, check what the new space actually contains before you assume it is complete. You can also delete the partial space and clone again with a new identifier.
Permissions
Your role’s access determines whether you can open the clone page and create the new space. There is no separate permission just for cloning.
Validation and Errors
| What you see | What it means |
|---|---|
| Unable to clone space | The clone request failed. Check that you chose a source space and filled in the name and identifier fields |
| The form shows a Form Errors message and will not clone | The source space, name, or identifier is still missing |
Rhythm does not warn you as soon as you enter an identifier that already exists. Rhythm catches a real duplicate only when you save, so the identifier field’s own duplicate check can appear to succeed even when the identifier is not available.
