After you create a space, you can change most of its settings at any time. This includes its name, status, description, Portal options, filters, and the page layout staff use when they edit submissions. The space kind is permanent after you first save it, whether it is a Portal Form, Membership Application, Certification Application, Accreditation Report, or tied to an event or award.

Prerequisites

  • You need submissions:user:spaces:edit, or the Submissions Administrator policy, to open a space's edit screen or Setup area.

Where to Find It

Open the space from the Spaces list, then choose Space Details from its Setup menu. You can also go directly to Submissions › Spaces › [space name] › Setup. The setup overview page shows the steps a new space usually needs, but it does not check your progress. A fully configured space and a brand-new space can look the same on this page.

Changing a Space's Status

Status Effect
Draft The space is not open for use; if it is a Portal-form space, members cannot submit to it
Open The space accepts submissions for a Portal form or receives copied records for fed kinds
Closed The space no longer accepts new submissions or receives new records

You can move a space between any two statuses at any time. There is no required order, and Rhythm does not check for open reviews or pending submissions before you close or reopen a space. The status changes as soon as you save, with no confirmation step, even when the change stops members from submitting.

The Page Layout Staff See

For a Portal-form space, When editing submissions in this space, what page layout should be used? controls which layout staff see when they open one of that space's submissions to edit it. Leave the field blank to show every custom field defined for submissions. Choose a layout to show only the fields included in that layout. This choice is available only for Portal-form spaces, so you cannot set it for a mirrored space from this screen.

Tip

If your account has custom fields for spaces themselves, not for the submissions inside them, Rhythm keeps those stored values when you save the space. This screen does not show those fields or let you change them directly.

Dependencies and Precedence

  • Changing a space's status, description, or Portal settings does not change its identifier or kind.
  • When you save a space that is not a Portal form, Rhythm removes Portal-only settings that no longer apply. When you save a Portal-form space, Rhythm removes fed-kind filters. You do not need to clear these settings yourself when you change other settings, because the space kind decides which group Rhythm keeps.
  • If you turn on Portal visibility with a display window, then switch visibility off, Rhythm keeps the window dates even though they no longer appear on the form. If you turn visibility back on later, check those dates instead of assuming they were cleared.
  • Editing a record in a review space generated from a certification or membership application can, in some cases, prompt you for a submission type and process when you save. Those values are not configured or visible in that space, so this prompt reflects the space's connection to the source application rather than a setting you are missing on this screen.

Deleting a Space

After a space has been saved, its edit screen offers Delete this Space. There is no separate delete screen. You cannot undo a delete or recover a deleted space afterward.

  1. Open the space and go to its Space Details setup page.
  2. Select Delete this Space.
  3. Confirm: Are you sure? / You are deleting this space. This operation cannot be undone. / Yes, delete it!

Result

In practice, you can delete only a space that has nothing in it. Submission types, submission processes, submissions, and review records, including rounds and buckets, all prevent deletion while they exist. For the review side of this, see Deleting Review Rounds, Buckets, and the Records They Depend On. If Rhythm refuses the delete, the space stays exactly as it was, and no confirmation dialog tells you in advance which dependent records are blocking it.

Warning

If a clone stops part way through and some records were already copied into the new space, you cannot delete that space while the copied records remain. Clear those records first to remove the stalled clone target.

Permissions

Editing a space's settings and deleting it use the same key, submissions:user:spaces:edit. The Console does not enforce a separate delete permission. If you can open a space's setup, you can also delete it from there.

Validation and Errors

If a save fails validation, a Form Errors card lists the missing or invalid fields, and the save does not go through. Any other save failure shows a toast that reads Unable to save Space with the server's reason. For an imported space, that reason can be an ID-mismatch message such as InvalidRequest: The id of your PUT request must match the ID of the object being updated. If you see it, reopen the space and try the save again. Contact Support if it keeps happening. If Rhythm refuses a delete because other records still point to the space, the page shows Unable to delete space with the server's message, and the space remains.
