How Sold and Remaining Counts Work

The sold and remaining counts on an opportunity, and on each benefit within it, are stored numbers. Rhythm does not recalculate them every time you open the opportunity. Instead, Rhythm updates them in the background when something changes about the sponsorships sold against that opportunity.

This article explains what starts a recount, what does not, and which limitations to keep in mind.

What Triggers a Recount

Rhythm recounts an opportunity’s sold and remaining quantities when a sponsorship tied to that opportunity is created, changed, or deleted. Rhythm also recounts each benefit on the opportunity based on the sponsorships that currently include that benefit.

If you move a sponsorship from one opportunity to another, Rhythm recounts both opportunities. That keeps the numbers current for the opportunity the sponsorship left and the one it moved to.

Every sponsorship counts toward these totals, no matter its status. Cancelled and pending sponsorships count the same way active sponsorships do, so if sold figures look higher than expected, check for sponsorships that are not live and confirmed.

What Doesn't Trigger a Recount

Not every sponsorship edit changes a count. Rhythm treats some non-quantity changes, such as a benefit name or expiry date change, as recount-worthy, so saving those changes starts a recount. Rhythm skips other sponsorship changes that cannot affect an opportunity or benefit total.

A sponsorship can also be saved in a way that deliberately skips the recount, such as during a bulk process where recounting after every change would be wasteful. When that happens, the counts stay at their previous values until the next change to that opportunity starts a recount.

Limitations to Know About

  • Large numbers of sponsorships. The recount only reads the first page of an opportunity’s or benefit’s sponsorships when it totals them. If an opportunity has sold heavily, well beyond what fits on one page, the count can end up too low.
  • Recounts aren't locked against each other. If two recounts of the same opportunity happen close together, the later one can write slightly older numbers than the recount before it. One write can also be refused if the record changed in between. In either case, the count can occasionally lag or be slightly off until another change starts another recount.
  • Silent failures. If a recount fails for any reason, you will not see a message. The counts stay at their last successful value until another change starts a fresh attempt.

Tip

If a sold or remaining count looks wrong and you cannot explain it, the most likely causes are very high sales volume for that opportunity or a sponsorship status you did not expect to count. Cancelled and pending sponsorships count too. Making another change to a sponsorship on that opportunity, even a minor one, starts a fresh recount and often fixes a lagging number.
