Before you can count stock, set up the places where you keep it. A warehouse is a stock location, such as a stock room, office, or fulfillment partner. If you need more detailed tracking, you can divide a warehouse into bins.
Where to Find It
Go to Orders & Inventory › Setup › Warehouses to view your warehouses in fulfillment-priority order. When bins are turned on for a warehouse, the row shows a (manage bins) link that opens that warehouse’s bin list.
Prerequisites
- Access to Orders & Inventory setup.
Create a Warehouse
- On Manage Warehouses, choose Create Warehouse.
- Enter a Name:. Rhythm generates the ID: as you type. Any character that is not a letter, digit, or underscore becomes an underscore, and the ID is upper-cased.
- Switch on Bins: if you want to track this warehouse’s stock by bin.
- Optionally enter a Default Reorder Point:. Rhythm uses this fallback reorder level when a specific stock record does not have its own.
- Save.
| Setting | Options | Default | Effect |
|---|---|---|---|
| Name | Text, required | Empty | The warehouse’s display name wherever stock appears |
| ID | Letters, digits, and underscores only, required | Generated from the name | The permanent identifier and the prefix for every bin in this warehouse |
| Bins | On or off | Off | Controls whether stock in this warehouse is tracked by bin |
| Default Reorder Point | A number of 0 or more | Empty | The fallback stock level below which this warehouse’s items are flagged for reordering, used only when neither the item nor its stock record sets its own |
| Status | Active or inactive | Active | Shows whether the warehouse is in use |
Tip
If the name uses only punctuation or symbols and has no letter or digit, Rhythm generates an empty identifier and the warehouse will not save. Use at least one letter or digit in the name.
Add and Manage Bins
After you switch on Bins: for a warehouse, open its (manage bins) link to add bins inside that warehouse.
- On the warehouse’s bin list, choose Create Warehouse Bin.
- Enter a Name:. Rhythm generates the ID: from the name, and it always starts with the warehouse’s identifier followed by a hyphen. You cannot save a bin if its identifier does not start that way.
- Save.
A bin always stays in the warehouse where you created it. You cannot move an existing bin to a different warehouse.
Purchase order workflows also use bins to categorize stock. When you record a purchase order or receive stock at a warehouse with bins turned on, you choose the bin where the stock belongs. See Order and Receive Stock.
Fulfillment Priority
On Manage Warehouses, drag a warehouse’s row to change its place in the list. When an order ships, stock is drawn from the warehouse with the lowest fulfillment priority first, then the next warehouse, and so on.
Warning
Dragging a row rewrites the fulfillment priority for every warehouse at once, including inactive warehouses you are not currently viewing. The change takes effect immediately, with no confirmation. If you have a filter typed when you drag, the reorder still applies to your full warehouse list, not only the filtered rows you can see.
Change Impact
Warning
Switching Bins: off for a warehouse that already has bins and bin stock does not remove them or warn you. The bins and their stock remain, but the warehouse no longer shows (manage bins) and is no longer offered as a bin-tracked destination for new stock.
Tip
A warehouse or bin you just created may not appear right away on other Orders & Inventory setup or stock screens that are already open in your browser. If a new warehouse or bin seems to be missing, reload the Console.
Marking a warehouse or bin inactive does not stop stock from being received into it or shipped from it. Inactive status is a display convenience on the setup screens, not a lock.
Warning
Adjusting inventory for a product has been observed to sometimes ask for a bin even at a warehouse with bins turned off, with a missing-bin validation error. Whether this still happens is unresolved. If you hit a bin-required error at a warehouse without bins enabled, contact Rhythm Support rather than assuming you need to turn bins on to work around it.
Deleting a Warehouse or Bin
You can delete a warehouse or bin only when nothing else names it. If bins, stock records, or movements still refer to it, the delete can fail with a message that names how many records depend on it, but not which records they are.
| What you see | Why | What to do |
|---|---|---|
| Unable to save Warehouse: Cannot update locked object | The warehouse has deletion protection switched on | Ask someone who can remove deletion protection to do that first |
| Unable to delete Warehouse | The delete was refused; the toast names the reason | Remove or reassign whatever still names this warehouse, then try again |
| You haven't entered a valid value for Name | The name is empty | Enter a name |
