Besides the general order confirmation every buyer receives, you can send a second email for a specific product. Use it for details like class joining instructions, digital download information, or garment care instructions. Each reusable email is a product confirmation email, and each merchandise item chooses which one to send.
On the merchandise item, turn on Use an Email Specific to this Product when that item needs its own product confirmation email. Different products can use different templates, or they can share the same one. If an order includes more than one product with its own template, Rhythm sends a separate product confirmation email for each product. Conditional wording inside a template, such as an if conditional block, changes only that email’s content; it does not combine multiple product emails into one message. If you want one confirmation per completed checkout, turn off product confirmation emails for items that do not need their own follow-up and use your account’s Successful Order Confirmation Email instead.
Where to Find It
Go to Orders & Inventory › Setup › Confirmation Emails. The list shows every product confirmation email in your Rhythm account, its status, and the last time it changed. From here, you can create a new email, open one to edit or clone, or delete one you no longer need.
The address buyers see on a confirmation email, including a registration confirmation billed through Orders & Inventory, is controlled under Setup › Settings in Orders & Inventory. If buyers need to see a different address, update it there instead of on this screen.
If you need to change wording for a donation or another merchandise-specific acknowledgment, edit the product confirmation email here instead of the general order confirmation. The general order confirmation covers the whole order and does not include one product’s own merge fields. Course and webinar confirmations can look similar. Depending on how the offering is sold, the email you expect to find here may belong to Certifications’ training-registration settings instead, so confirm which setup area owns the message before you edit it.
Prerequisites
- Access to Orders & Inventory setup.
Create or Edit a Template
- On Confirmation Emails, choose Create Product Confirmation Email, open an existing email to edit, or use its Clone option to start from a copy.
- Enter a Name: and an ID:. The ID can include only letters, digits, underscores, hyphens, and vertical bars, and you cannot change it after you save.
- Write the email sender, subject, and body, and use the merge-field picker to add order, buyer, and product details.
- Save.
| Setting | Options | Default | Effect |
|---|---|---|---|
| Name | Text, required | Empty | The name staff see in the list and when they choose a template for a merchandise item |
| ID | Letters, digits, underscores, hyphens, or vertical bars, required | Suggested from the name | The permanent identifier a merchandise item uses for this template; fixed after the first save |
| Status | Active or inactive | Active | Whether the template is in active use |
| Sender, subject, body, merge fields | Empty | The email itself |
Creating or editing a template does not send it to anyone. A merchandise item must name this template in its own settings before any buyer receives it.
Merge Fields
The merge-field picker inserts fields for the order, its lines, and the product. Some values are objects instead of plain text. For example, order.line_items is a collection of line objects, and product is one of those objects. If you output an object directly instead of one of its properties, the email shows [object Object] instead of readable text. To list purchased items, loop over the collection and output a property from each line, for example:
{{#each order.line_items}}
{{quantity}} × {{product.name}} — {{unit_price}}
{{/each}}Modifier and variant selections work the same way. Loop over lineItem.modifier_options and lineItem.variant_options with an each loop, then output fields such as option_id and value for each one. A standalone merge field for the selections does not return readable text on its own. This template data currently includes the option’s ID and selected value, not a human-readable option name, so the email shows that value text rather than a friendlier label.
order.total is the total for the whole order, including every line on it. lineItem.total is only the amount for the current line. When an order includes something that should not affect one product’s acknowledgment, such as a donation added alongside a merchandise purchase, use lineItem.total in that item’s product confirmation email instead of order.amount_paid or order.total. That way, the email shows the line’s amount rather than the whole order’s total.
The built-in order-date merge field can show as YYYY-MM-DD instead of a long-form date. If you need a readable date such as "Month DD, YYYY", use a formatted date merge field instead of the plain one.
A merge field that outputs HTML needs triple braces so the HTML renders instead of being escaped. For example, use triple braces for the coupon code-generation HTML field:
{{{coupon.code_generation_html}}}When you wrap an HTML field in the usual double braces, the email shows the raw markup instead of rendering it.
For a simple donation product, the entered amount is dynamic, and a plain product.price field may not return it. Use a line-item amount field, such as lineItem.total, to show what the buyer actually entered.
You can merge merchandise custom field values into a shared product confirmation email. This lets one template serve several products that each store their own value in a custom field, such as a recording URL stored on each product, instead of maintaining a separate template for each product.
Your account-level Successful Order Confirmation Email setting, under Orders & Inventory › Setup › Settings, also needs to be turned on for merchandise confirmation and receipt emails to go out. The product must still name its own template here. If a product confirmation email is not being delivered, check that account-level setting and the product’s template assignment.
Tip
If a digital product does not use shipping and you want a broad way to learn whenever someone buys it, add an internal address as a BCC on the account-level Successful Order Confirmation Email, under Orders & Inventory › Setup › Settings, instead of building a per-product alert. That BCC receives every successful order, not only orders with a digital product, so treat it as a general purchase notice rather than a targeted one.
Keep a related limit in mind if you also edit the global order confirmation email. Its template cannot detect whether a specific product exists among an order’s line items and then show separate top-level text based on that. Write order-level wording that does not depend on testing for one specific item, and use a product confirmation email when a product truly needs its own message.
Some unsupported or newly added merchandise email fields have no bulk-update option. Update those fields on each product one at a time.
Tip
If a line-item loop renders unexpected code in the sent email, do not wrap it in HTML comment markers. Use plain, line-separated block tags for the loop’s start and end instead.
If a product confirmation email delivers a digital download, customers receive exactly the URL you place in the email body. Rhythm does not generate or host a download link for you. If that URL points to the wrong page, purchasers land there instead of getting a file.
Warning
A direct file URL in a confirmation email can be shared or reused outside the purchase flow. Anyone with the link can open it without buying the product again. If you need controlled access to a file hosted within Rhythm, use a document-management feature instead of emailing a direct link.
Preview Before You Save
Use Preview in the email editor to send yourself, or another address, a test copy filled in from a real order and one of its lines.
Prerequisites
- The identifier of an existing order to preview against. Get it from that order’s Order 360 page by choosing Copy ID to Clipboard from the options menu.
- Choose Preview in the email editor.
- Enter the Order ID: and, if the product you are testing is not the order's first line, the Item #:. Leave Item #: blank to preview the order's first line item.
- Enter Send Preview To:.
- Choose Send Preview.
Result
Email preview sent successfully. The preview uses the wording currently in the editor, whether you have saved it or not. Previewing does not save anything, and the buyer on the real order does not receive an email.
Warning
The preview does not check whether the order line you entered is a purchase of the product this template is for. Any order and line number you enter will fill in the preview, so double-check that you are reviewing the right item’s data.
Delete a Template
Deleting a product confirmation email removes it from the list right away.
Warning
If a product still names the template, Rhythm does not block the delete or warn you first. The next time that product is bought, Rhythm cannot find its confirmation email, so the email is not sent. Before you delete a template, check whether any merchandise item still names it.
