By default, orders placed through your online store use your Rhythm account’s standard confirmation emails. For one store, you can replace the order confirmation and shipment confirmation emails with your own wording, or turn either email off, without changing emails for other stores or order types.
Prerequisites
- You need access to Orders & Inventory setup to open and edit a store.
Where to Find It
Go to Orders & Inventory › Setup › Stores, then create or edit a store. The email override settings are on the store form, below the checkout settings. See Configure a Store's Checkout Settings.
The Settings
| Setting | Options | Default | Effect |
|---|---|---|---|
| Override Successful Order Confirmation Email | On/off | Off | Sends this store’s order confirmation instead of your Rhythm account’s standard confirmation for orders placed through this store |
| Override Shipment Confirmation Email | On/off | Off | Sends this store’s shipment confirmation instead of your Rhythm account’s standard confirmation for this store’s shipments |
| Suppress delivery of this email | On/off, inside each override | Off | Sends no email of that kind for this store’s orders, instead of sending a replacement email |
You can override only the order confirmation and shipment confirmation emails from this form. To override a store’s cancellation confirmation or return confirmation email, you must use the API because this screen does not include those controls.
Writing the Replacement Email
Turn on an override to open its editor:
- Turn on Override Successful Order Confirmation Email or Override Shipment Confirmation Email.
- To send no email of that kind, tick Suppress delivery of this email and skip the remaining steps.
- Otherwise, fill in From: with the sender name and address, and optionally fill in Reply To:, Cc:, and Bcc:.
- Enter a Subject: and write the email body.
- Save the store.
Tip
If a billing contact should always receive a copy of an order email, put the order's Billing Contact Email merge field in Cc:. This is only a workaround because it copies the address that merge field resolves to for each order, not one fixed address.
Result
Orders placed through this store use your replacement email, or send no email if you suppressed delivery, instead of your Rhythm account’s standard confirmation.
Warning
After you turn an override on, you must enter a subject and body before you can save, unless you tick Suppress delivery of this email. If you turn the override off, Rhythm keeps what you wrote so you can use it again later.
Warning
Each purchased item's product data in your merge fields is available only inside the line_items collection, with one product entry per line. A product's custom field values are not available as a top-level, order-wide merge field, so you cannot reference a product's custom field directly outside line_items in this template.
Dependencies and Precedence
- An override applies only to orders that belong to this store. Every other store, and every order that is not an online-store order for this store, continues using your Rhythm account’s standard emails.
- The shipment confirmation email needs a ship-to contact with an email address. When an order ships to an organization instead of a person, there may be no ship-to contact, so Rhythm does not send the shipment confirmation.
- A store's shipment confirmation override does not check a shipment's own "don't send a confirmation for this shipment" choice. If this store’s shipment confirmation is overridden, Rhythm still sends the email for a shipment even when you chose not to send a confirmation for that shipment.
- Suppressing an email is not the same as leaving the override off. With the override off, Rhythm still sends your Rhythm account’s standard email. With the override on and delivery suppressed, no email of that kind goes out for this store.
- Suppressing this store's order confirmation can also stop a pay-later invoice email. If a buyer pays later and does not receive an invoice email for a purchase in this store, check whether the store's order confirmation is overridden with delivery suppressed. That setting can prevent the invoice from being sent, even though the invoice is otherwise separate from the order confirmation. Rewriting the order confirmation wording does not suppress or replace the invoice email.
- Console order processing can be done against an inactive store. Choosing an inactive store when processing an order does not stop the order from going through. The selected store’s email settings decide which confirmation email configuration applies, even if it is not the store you expected.
Change Impact and How to Revert
Turn an override off to return that store to your Rhythm account’s standard email. Rhythm does not delete your replacement wording, and it reappears if you turn the override back on. There is no confirmation dialog when you turn an override on, turn it off, or suppress delivery; the change takes effect the next time you save the store.
Permissions
Setting up a store’s email overrides requires access to Orders & Inventory setup, which is the same access you need to open the store form. See Orders & Inventory Staff Access Policies.
