Two settings control what Portal members can do with coupon codes without staff help. You can let members apply a coupon after checkout, and you can choose who can manage an organization’s coupon codes.
Retroactive Coupons: Apply a Coupon After Checkout
| Setting | Options | Default | Effect |
|---|---|---|---|
| Allow users to retroactively apply coupons to their orders in the portal | On or off | Off | Lets Portal members open a past order and apply a coupon code after checkout |
| Limit the amount of time after an order that a portal user can retroactively apply a coupon | On or off, shown only when the setting above is on | Off | Adds a day limit for applying a coupon after an order |
| Days | Any number | Empty | Sets how many days after the order a member can still apply a coupon, when the limit is on |
Find these settings under Retroactive Coupons on the Orders & Inventory settings screen.
Prerequisites
- You need the commerce:admin:settings:edit permission to open and change the settings screen.
Warning
The day limit is enforced only on the Portal page where a member applies the coupon. If a member reaches an older order another way, the limit is not enforced there.
If you select the day limit, enter a number of days before you save. Rhythm requires that number whenever the limit is selected, even if you later turn retroactive coupons off again.
This setting also covers orders that are processed or invoiced but not yet paid. When the setting is on, a member can apply a coupon to an open invoice, not only to an order that has already been paid in full.
Warning
If you change a coupon’s usage settings after it has already been used, such as turning a single-use code into a multi-use code and removing its restrictions, that change has been reported not to always take effect consistently when a Portal member reapplies the same code to a later unpaid order. If a member says an updated coupon still behaves like its earlier settings, double-check the coupon’s current configuration before assuming the setting itself is wrong, and contact Support if the mismatch continues.
Staff can apply a coupon after checkout from Order Options › Apply Coupon Retroactively on the order itself. You cannot turn off that Console action with the Portal member setting above. It is available to any staff member who has permission to apply coupons retroactively, regardless of how you configure this Portal setting.
Contact Role Permissions: Who Can Manage an Organization's Coupon Codes
A Portal member can see and manage an organization’s coupon codes only when their contact role allows it. Open the Contact Role Permissions screen to choose which roles have that right.
Prerequisites
- You need the commerce:admin:contact-role-permissions:edit permission.
- Active contact roles must already be set up for your organization’s contacts. See your CRM contact role setup.
The screen shows a grid with one row for All Contacts, which includes every contact of an organization regardless of role. It also shows one row for each active contact role, and each role has one checkbox, Manage Coupon Codes. Select a role’s checkbox to let contacts with that role manage their organization’s coupon codes in the Portal. Select All Contacts to give that right to every contact of every organization, regardless of role.
| Row | Grants the right to |
|---|---|
| All Contacts | Every contact of an organization, regardless of role |
| A specific role | Only contacts currently holding that role |
If your contact role setup marks a role as administrative, that row shows a note instead of a checkbox. Administrative roles automatically receive every organization right, including this one.
Change Impact
Warning
Deactivating a contact role clears any right this screen granted to it. The next time anyone saves this screen, Rhythm removes the row for an inactive or deleted role, and contacts with that role lose the right to manage their organization’s coupon codes even if no one meant to change this setting.
A Portal member can never change either of these settings. Both are Console-only, and Portal members cannot save changes to Commerce settings with their own sign-in.
Coupon eligibility rules are not standardized across self-service Portal purchases and staff-assisted renewals or processing. Check your own account’s configuration for each scenario instead of assuming Portal behavior and staff-assisted behavior always match.
Validation and Errors
| What you see | Why | What to do |
|---|---|---|
| The save is refused because a number of days is required | The day limit is selected with no number entered | Enter a number of days, or untick the limit |
| Unable to save settings | The contact role permissions save failed | Try again; if it keeps failing, contact Support |
