Orders & Inventory's Query Center lets staff design and run queries against your order and inventory data. For each query type, such as orders, stock movements, or coupon codes, you can control three actions by role: run the query, download the results, and schedule email delivery.
What It Controls
Orders & Inventory includes ten query types in the Query Center, covering areas such as orders, stock, and coupon codes. Each query type uses the same three permissions, so once you understand one, the rest work the same way.
For each query type, your organization's roles control these actions independently:
| Action | What it lets a role do |
|---|---|
| Run | Design and run this query type in the Query Center, then view the results on screen |
| Download | Export this query type's results to a file |
| Schedule | Set up recurring email delivery for this query type's results |
Because these rights are separate, you can let a role run a query type on screen without letting that role download or schedule it. You can also grant download or schedule access without granting run access.
Where to Find It
Set these permissions with the rest of your organization's role and permission settings. This article does not cover the Console screen or field labels for that setup; use your Console's permission management tools to assign a permission to a role.
Prerequisites
- Console access to Orders & Inventory's Query Center, so the permissions have somewhere to take effect.
- Your organization's roles already set up, so you have something to assign these rights to.
Dependencies and Precedence
- A role must be able to reach the Query Center before any of these permissions matters for a specific query type.
- Running, downloading, and scheduling are separate switches for each query type. Granting one does not grant the others.
- Each of the ten query types is controlled separately. A role that can run and download orders queries does not automatically get access to stock or coupon-code queries, so set the three permissions for each type on its own.
An Example
Suppose you want a customer-service role to look up orders on screen, but not export order data or schedule it for email delivery. Grant that role the run permission for the orders query type, and leave the download and schedule permissions off. The role can still design and run other query types where it has run rights, because these settings are not an all-or-nothing switch for the whole Query Center.
Change Impact
Warning
A role with download or schedule rights for a query type can export or schedule email delivery for everything that query type covers, including customer names, addresses, and purchase details. Because those rights are separate, this is true even when the same role cannot run the query interactively. Grant download and schedule rights only to roles that should see that data leave the Console.
Changing a role's permission for a query type takes effect the next time a staff member with that role opens a page or runs a query. It does not change what an already-open page already shows them.
