Before a product can grant a right, such as an exam sitting, a continuing-education credit, or a year of access, your Rhythm account needs a name for that kind of right. That name is an entitlement type. Each entitlement a customer holds is a quantity of one type, and each product that grants rights names the types it grants.
This article explains how to create, rename, and retire an entitlement type. To grant, correct, or remove an individual customer’s entitlements, use the Add, Edit, or Remove an Entitlement task.
Where to Find It
Go to Orders & Inventory › Setup › Entitlement Types. The list opens under Manage Entitlement Types. This menu option appears only after entitlements are turned on for your Rhythm account, but the page address still works even when the menu option is not showing.
Create an Entitlement Type
- Go to Orders & Inventory › Setup › Entitlement Types.
- Press
Create Entitlement Type. - Enter a
Name:. Rhythm suggests theID:from the name as you type. - If you need a different identifier, change it now. After you save, you cannot change
ID:. - Leave
Status:on, or turn it off if you are not ready to offer the type yet. - Press
Save Changes.
Result
Entitlement Type '[name]' saved successfully. Products can now grant this type, and staff can add it by hand.
Warning
The identifier matters more than it may seem. Other applications check an entitlement type by its identifier, not its name, so treat the identifier as the type’s permanent public name in Rhythm and set it carefully before you save for the first time.
Renaming a Type
You can change a type’s Name: at any time without breaking anything that refers to it. Products, entitlements, and other applications’ checks keep using the same identifier. If you already had a page open that showed entitlements of this type, that page may keep showing the old name until you fully reload it.
Making a Type Inactive
When you change a type’s Status: to Inactive, staff no longer see it in the picker when they add an entitlement by hand, except where it is already selected on an existing row. That is the only effect. Products that already grant an inactive type keep granting it, and checks for whether a customer holds that type of right keep counting it.
Deleting a Type
You can delete a type even when entitlements or products still name it. Rhythm does not warn you or block the deletion. An entitlement that already names a deleted type keeps its identifier, but no longer has a name to display. Wherever entitlements are listed, its Type cell shows the raw identifier instead of a readable name.
Warning
Before you delete an entitlement type, check whether any product still names it or any entitlement still holds it. This screen does not provide a built-in way to check, and deleting the type leaves both pointing at nothing.
Permissions
To open this screen and change an entitlement type, you need access to Orders & Inventory Setup. A Rhythm system user also sees a Deletion Protection: switch on the form, which customer staff do not see.
Validation and Errors
| What you see | Why | What to do |
|---|---|---|
| The save is refused for a name or identifier problem | Name: or ID: is empty | Fill in both fields |
A red warning beside ID: reading a record already exists | Another type already uses the identifier | Choose a different identifier. This warning does not stop the save by itself |
Unable to save Entitlement Type | The service refused the save | Correct the field named in the message, then try again |
Unable to load item | The type could not be found, such as after you follow a direct link to a deleted type | Return to the list |
