Once you have several billing runs, search is the fastest way to find a specific run or check what is planned for one member. This article shows you how to find a run, review a membership’s billing history, and cancel a run that still has pending actions.
When to Use This
Use this when you need to find a billing run that you or someone else started, review billing history for a specific membership, or stop a run before it does anything else. To build a new run, see Start or Edit a Billing Run.
Prerequisites
- Permission to open Billing in the Console, search for runs, and open them.
- Permission to create billing runs, if you need to cancel one.
Find a Billing Run
- Go to Billing.
- Search by the run's name, status, or date, or leave the fields blank to see recent runs.
- Select a run's name in the results to open it.
Result
The run's page opens with its current status, dates, and the tabs described in Review and Refresh a Billing Run's Plan and Schedule, Run, and Monitor a Billing Run.
Tip
You can also start from an invoice or order. Build an invoice query, then use the Billing Run Order ID column in the results to find the run that generated that invoice or order.
If a billing run link in an email takes you to the main sign-in page instead of opening the run, clear your browser's cache. If that does not help, use the manual search steps above.
See Every Billing Action Planned for a Membership
- Open the contact's or organization's own membership record.
- Look for the billing actions or billing history section of that page.
Result
Rhythm lists every billing action ever planned for that membership, across every billing run, with a planning date for each action. If the membership has no billing actions, the tab says so. An action from a run that was later deleted still appears here, but it links to a run that no longer exists.
Use this history when you are investigating an unexpected change to a membership's status, such as an unexplained drop. Review completed runs and still-pending runs, because either one can explain what you are seeing.
Tip
To audit auto-renew members that billing may have missed across many memberships at once, build a query comparing each membership's renewal date to its billed date. Then filter by billing method to isolate the relevant records.
Cancel a Billing Run
- Open the run.
- Select Cancel Run.
- Confirm that canceling the billing run cannot be undone.
Result
Rhythm removes the run's pending actions, so they are not carried out. Actions that have already completed, failed, or were already excluded stay as they are.
Warning
Cancel Run appears for any current run status, including a run that has already finished, is currently executing, or already errored. If a run is already executing, canceling removes only the actions the run has not picked up yet; anything already queued still finishes. You cannot undo canceling from the Console, so make sure you have the right run before you confirm. Canceling a run also does not cancel or undo any renewal order it already created, because the run only stops actions it has not carried out yet. Cancelling the invoices from those orders by themselves is not enough to restore an affected member to their pre-renewal state.
If you suspect a cancellation left some memberships with incorrect data, build a membership query to list the affected records instead of checking them one at a time.
Canceling a billing run is different from closing the orders it already created. Rhythm has no way to close a batch of open orders at once, so close each one individually or contact Support for help with a large batch.
If canceling fails with a server error mentioning a missing businessUnitId, try again. If the error continues, contact Support with the run's name and the error text.
