After you save a billing run, you control when it builds its plan and when it carries out that plan. This article explains how to set or change those times, run a reviewed plan right away, and monitor progress while the run works.
When to Use This
Use this article after you've built a billing run and need to control when it plans and executes. You can also use it while a run is working and you want to check its progress. To build the run itself, see Start or Edit a Billing Run. To review or adjust the plan before the run executes, see Review and Refresh a Billing Run's Plan.
Prerequisites
- Permission to create billing runs, if you need to pre-process or run one now.
- A saved billing run.
Preview a Run's Timing
When you build a run, you choose whether pre-processing starts Immediately or In the future. Immediately starts planning as soon as you save the run. In the future uses the Scheduled Run Date: and the number of preview hours you enter to decide when pre-processing begins. Rhythm counts backward from the scheduled run date by that number of hours and sets the pre-processing time. Choosing Schedule Billing Run opens a page that previews the audience first; that page is part of setup, not the run itself, and nothing is sent from there.
Warning
No matter how you schedule it, a billing run never charges, emails, or drops anyone the moment you save it. Saving only schedules pre-processing, which is the planning step described in Review and Refresh a Billing Run's Plan. The run then waits for you to review its plan and press Run Now before anything is sent. This is also true for a recurring billing run: one scheduled for a future date still waits in Ready For Execution until you review its plan and select Run Now. It does not execute automatically at its scheduled time.
Run It Right Now Instead of Waiting
If a run's plan is ready for execution and you do not want to wait for its scheduled time, you can start it immediately.
- Open the run.
- Select Run Now.
- Confirm that processing the run cannot be stopped or undone.
Result
Rhythm queues every pending planned action. Based on how you set up the run, Rhythm creates orders, charges stored cards, sends notices, and drops members. Pressing Run Now again for the same run does not start it a second time.
Warning
The confirmation for Run Now does not tell you how many members, orders, or drops are about to happen. Before you select Run Now, review the run's plan on its Actions tab, as described in Review and Refresh a Billing Run's Plan. This action cannot be undone once you confirm it. If you're not confident about a run's setup, such as before your first installment billing run, review its plan thoroughly and consider testing a similar run in your sandbox first.
If a run is still waiting to be planned, open it and select Pre-process Now to start that step immediately instead of waiting for its scheduled time.
Watch a Run's Progress
Open the run's page at any time to see its current status, such as Preprocessing, Ready For Execution, or Running, along with its scheduled and actual dates. While a run is actively planning or executing, the page refreshes every few seconds and shows a status spinner. You can leave the page open and watch the run move through its stages.
- Open the run.
- Check the Statistics tab for a count of each action by status: pending, processing, error, excluded, successful, and total.
Result
The counts on the Statistics tab update as the run works, so you can see what has succeeded, failed, or been skipped so far.
Tip
If a run reports an error, its page shows an Error Information card with the error text. Check the run's Actions tab to see which members were affected.
If one of a run's dates is in an unexpected format, Rhythm may show an error when you save the run instead of failing later while it processes. Fix the flagged date and save again.
