If you are an officer for one of your association's chapters, use the Chapter Center to manage that chapter's committees. You can view each committee, record who serves during each term, and remove someone’s seat when they step down.
Prerequisites
- You need the Manage Committees permission for your chapter to make changes. Anyone who can open your Chapter Center, including people without an officer role, can view every committee and its members.
See Every Committee for Your Chapter
- Open your chapter's Chapter Center.
- On the chapter's home page, look under [Your Chapter] Tasks for a View link named after each committee, such as View Awards Committee.
- Select a committee's link to open it.
Result
Anyone who opens the Chapter Center can see every committee that belongs to your chapter, even if they do not have officer permissions. Actions inside the committee, such as adding terms or removing a seat, require Manage Committees.
The current member list shows only people whose seats are active now. Someone whose seat has ended does not appear, even if they served on the committee in the past.
Tip
A committee appears here only after it has been created and associated with your chapter. If you do not see a committee you expect to manage, ask your association to confirm that the committee exists and is linked to your chapter.
The committee member list appears in the order people were added, not alphabetically by name. If your association uses parent committees or sub-committees, staff can see those relationships in the Console, but they are not shown here.
Add a Person to the Committee
- Open the committee from your chapter's home page.
- Choose Add a Committee Member.
- Select the person, choose their position, and save.
Result
Rhythm adds the person to the committee. You must add someone to the committee before they can open the committee's folders and documents. Belonging to your chapter or holding its membership does not give someone access to committee materials by itself.
Tip
Your association's administrators can also add someone to a committee from the Console, so this action is not limited to the Chapter Center.
Warning
Rhythm does not automatically add someone to a committee when they buy a membership add-on or earn a certification. Committee membership is always a manual step, whether you add the person here or your association adds them in bulk.
If adding an existing person fails unexpectedly, the most common cause is a leftover association on that person's record from an earlier merge of duplicate contacts. Contact your association so they can confirm that you are adding the correct, current person record.
Add or Change the Committee's Terms
Terms record who served during a specific period, such as this year's slate of officers. Each committee's terms are set up on that committee record. There is no single, account-wide place to define term lengths for every committee at once.
- Open the committee from your chapter's home page.
- Choose Add a Committee Term or open an existing term to change it.
- Enter a name for the term, a start date, and an end date. Rhythm suggests a name, which you can keep or replace.
- Save the term.
Result
Rhythm saves the term and turns on terms for the committee if they were not already in use. After you save, the committee term appears in the committee's term list.
Tip
Each term needs a name, start date, and end date, so decide those details before you open the form. For example, name the term for the period it covers, such as this year's leadership, instead of keeping a default name you will need to edit later.
Warning
When you edit an existing term instead of adding a new one, check the committee's term list afterward. Confirm whether your edit replaced the original term or added another term, because this behavior has not been confirmed either way.
Whether someone sees a start and end date on their committee position depends on whether that committee uses terms. If terms are not in use for a committee, members do not see a start or end date on their committee membership. Once you save a term for the committee, term dates start showing.
Tip
If a committee is no longer active and you need to end everyone's participation at once, set the committee's current term to end on a past date instead of removing seats one at a time. This is the closest option to a bulk removal for an inactive committee.
Remove a Seat from the Committee
When someone steps down, remove their seat to end their access at the same time.
- Open the committee and find the person's seat.
- Choose to remove them.
- Confirm Are you sure you want to remove this person from the committee?
Result
Rhythm removes the seat. Removing a seat this way deletes its history entirely instead of ending it with an end date. If you want to keep a record that someone served for a certain period, give their seat an end date instead of removing it outright, if your Chapter Center offers that option.
A committee member with no end date on their seat is counted as an active member of the committee. Giving their seat an end date moves them from active to past instead of removing them outright. Entering a new start date on a seat can make a past title active again.
Warning
If Rhythm refuses to remove a seat, other records may still depend on it. This can happen when older records, such as legacy reviews tied to that person's participation, still reference the seat. This has been observed but is not fully confirmed. Contact your association so staff can look at the committee entry's related records from the Console and identify what needs to be resolved before the seat can be removed.
What You Cannot Change Here
As a chapter officer, you can change only a committee's terms and seats. If you try to change anything else through your chapter's tools, such as the committee name, type, or details beyond its terms, Rhythm refuses the change. If one part of your request falls outside your terms-and-seats permission, the whole request is refused, and nothing about the committee changes.
Warning
A committee record no longer offers a report action. If you see a leftover Reports control on a committee somewhere, it does not produce anything and can be ignored.
