Every lockbox file your association uploads to Rhythm stays on a list you can reopen, whether it is still in progress or already processed. Use this article to find that list, review what happened to each cheque in a completed file, and delete a file you no longer need.

Use this when you want to check what a past lockbox import did, review a file's bank account and column mapping without changing them, or clean up an old or abandoned file. This does not cover creating a new lockbox file or running an import. For those tasks, see Set Up or Change a Lockbox File and Import Lockbox Payments.

Prerequisites

  • You need a signed-in Console session for your Rhythm account. You do not need any specific permission beyond being signed in to view, edit, or delete a lockbox file.

Find Your Account's Lockbox Files

  1. Go to Integrations › Rhythm Lockbox.
  2. Review the list of lockbox files. Each row shows the file's Name, Number, Date Uploaded, Last Changed, and Status.
  3. Use the filter box to narrow the list by name or identifier if you have many files.

Result

Every lockbox file in your Rhythm account appears on this list until you delete it, whether its status is In Progress or Completed.

Review a Completed File's Results

  1. On the lockbox files list, find a file whose status is Completed. Results are available only after the file is completed.
  2. Select the results icon on that row to open the Lockbox Results window.
  3. Review each row to see the matched Invoice, the Payment Rhythm created, the invoice's total and status, the Import Status, the Action Rhythm took (Pay Invoice, Pay Invoice/Credit, Credit, or No Action), and the Message explaining the outcome.
  4. Select an invoice or payment link in the results to open that record in Finance & Billing in a new tab.

Result

You see each cheque, the invoice it matched, the payment Rhythm created, and Rhythm's message about the outcome.

Tip

If the results window opens with no rows, or with rows that do not match the file you selected, close it and select the results icon again. Reopening the window shows the correct rows for that file.

Review a File's Settings and Column Mapping Without Changing It

  1. On the lockbox files list, select Edit on the file you want to review.
  2. Step through the wizard to see the file's currently saved bank account, batch, payment type, and column mapping.
  3. Select Cancel to leave without saving anything.

Warning

When you open a file through Edit, Rhythm uses the same wizard for review, changes, and reprocessing. If you reach the Process Payments step and select it, Rhythm applies the previewed payments again, even when the file is already marked Completed. If you only meant to review the file, select Cancel to leave without reprocessing.

Delete a Lockbox File

  1. On the lockbox files list, select Delete on the file you want to remove.
  2. Confirm the deletion when prompted. Rhythm warns you that this cannot be undone.

Result

The lockbox file and its stored row-by-row results are removed from the list. Payments already created from that file are not reversed or deleted, and they remain in Finance & Billing exactly as they were created. Deleting a file removes Rhythm's record of the import itself, not the financial transactions it produced.

Warning

Rhythm lets you delete a completed file the same way you delete one that is still in progress, with no extra warning that payments were already applied. Before you delete a completed file, make sure you no longer need its results view. Once you delete the file, that row-by-row detail is gone, even though the payments remain.

If Something Looks Wrong

  • A file you expect to see is missing from the list. Check the filter box and clear any text entered there. If you still do not see the file, confirm that you are looking at the correct account.
  • The results icon doesn't appear on a file. Results are available only when the file's status is Completed. A file that is still In Progress has not finished processing.
  • A row's action doesn't match what you expected. See the troubleshooting article on unmatched lockbox rows, listed under Related, for common causes.
  • A file has shown "In Progress" for a long time. This can happen if the import was interrupted, or if the page was closed before the file's status could update, even though the payments themselves may already have been created. Deleting the file does not reverse those payments. If you need to confirm what actually went through, check the related invoices directly in Finance & Billing while you wait, and review the file's results once its status changes to Completed.

Rhythm does not have one view across all your lockbox files that lists every payment failure at once. To see failures, open each file's results individually, or check whatever visibility your Lockbox integration's own interface provides.
