A member registering for your event on the Portal may see no registration types, or fewer choices than you expected. These are the most common causes, in the order they usually turn out to be the answer.

Scope

This article covers the Portal’s list of registration choices for one event. It does not cover unavailable packages within a selected registration type, or sessions or booths that are sold out.

The Member Already Has a Registration for This Event

Most likely cause. If the member already has a registration for this event that is not a draft and not cancelled, Rhythm does not offer registration choices again. Instead, the member sees a message that they are already registered. This includes active registrations and registrations pending approval. It does not include an unfinished draft, which the member can resume, or a cancelled registration, which does not block a new one.

This block applies to the order, not just the list of registration choices. Rhythm also refuses to complete a purchase of a registration product for someone who already has a registration for that event. If a first attempt actually went through but appeared to fail or was retried, the member should see the already-registered message instead of ending up with a second registration.

Registration statuses are limited to draft, pending approval, active, and cancelled. There is no separate, configurable status such as "No Show" for marking attendance after the fact.

A draft exists only when the member started registering, got far enough for Rhythm to save their progress, and did not finish. The registration stops being a draft once the member completes it. Drafts are only possible when the registration process has Save and Return turned on. Without Save and Return, there is nothing to resume, so a registrant who leaves partway through has to start over. When Save and Return is on and the member resumes a draft, the package and answers they already entered should still be there. Staff can find incomplete registrations by querying draft status, and can delete a stale draft nobody plans to finish.

An existing registration does not prove that the event was ever open or visible on the Portal. Staff can create a registration for someone directly, including before the event is published. Finding a registration on a member’s record does not, by itself, mean the event was available for members to register themselves.

Check. Look up the member’s registrations for this event and check each status. Any status other than draft or cancelled explains the message.

Fix. If the earlier registration should not block a new one, cancel or resolve it, then ask the member to try again. For example, cancel it if it should have been cancelled earlier. If the member genuinely needs a second registration right away, staff can register them directly from the Console. Registrations created from the Console are not subject to this same check.

The Member's Organization Has Reached Its Registration Limit

Likely cause. Some events limit how many people from the same organization can register. When that limit is on, Rhythm counts the organization’s active registrations for the event. Once that count reaches the configured maximum, the next colleague from that organization is refused with a message that names the limit. Registrations pending approval are not counted, so the organization may have more people signed up than the active count suggests.

Check. Open the event’s registration settings and confirm whether the same-organization limit is on. If it is, check the maximum and count the organization’s active registrations for the event.

Fix. Wait for an active registration to free up, ask staff to raise the event’s limit for that organization, or have staff register the person directly. Rhythm checks the limit when registration choices are offered, not again at payment. Because of that timing, two colleagues who start registering at almost the same moment can occasionally both get through when only one place remains. If the limit is exceeded by exactly one, this is the most likely explanation.

This organization-based count is the only registration cap Rhythm enforces automatically for an event. There is no equivalent setting to cap registrations by a registrant’s geographic state, from either a work or home address.

The Event Has Too Many Registration Types

Less likely, but blocks every member. If an event has more registration types than one page of results can hold, Rhythm does not list any registration choices for that event. The count includes old and inactive registration types. Rhythm blocks the list instead of showing members an incomplete set of choices, so this affects every member trying to register for the event.

Check. You usually see this when no member can register for one specific event. It is most common for a large, long-running event that has accumulated many registration types over several years, including inactive ones nobody uses anymore.

Fix. Clean up the event’s registration types by deleting the ones you no longer need, especially inactive types left over from earlier planning. Once the event’s type count is back under the limit, registration choices appear again for everyone.

When to Contact Support

Before escalating, try opening registration as the affected member yourself, for example by impersonating them. If the expected choices appear that way, the issue is more likely with the specific Portal page the member is using, or whether that page is published, than with the registration type’s setup.

If a link on the event’s own page shows a message that the member is not eligible, but the same member can register successfully using the Registration option in the menu bar instead, use the menu-based path as a workaround while you look into the link. If you cannot reproduce the issue this way and the member is confident they are not on a VPN, ask them to try again on a different network, such as cellular data or a different Wi-Fi connection, before you escalate further. Some registration failures trace to the member’s own browser or network rather than to their account or the event’s setup.

Contact Rhythm Support if none of the causes above explains what you are seeing, or if cleaning up an event’s registration types does not resolve a total block on registration. Include:

  • the event and, if the issue affects one specific member, their contact record;
  • their organization, if the organization limit might be involved;
  • whether the problem affects one member or every member trying to register for the event;
  • the exact message the member saw, if you have it.
