A school's page in Rhythm is the organization record from your contact and organization directory, with accreditation details added. Staff often call it the School 360. Use it to review a school's standing or start an update.

When to Use This

Use this page to review a school's accreditation details in one place, edit or add its accreditation, or copy its identifier. If you need to find the school first, see Find and Open a School.

Prerequisites

  • None. Any signed-in staff member can open a School 360 and see the school's accreditation standing, even without accreditation-specific permission.

What You See

  1. Open the school's record.
  2. Review the three figures at the top of the page: Status, Phase, and Phase Expiration. Each one shows a dash when the school has no accreditation in the program you're working in.
  3. Select the Accreditation Details tab, which appears only when the school has an accreditation, to see Program:, Status:, Status Reason:, Accreditation Number:, Phase Advancement Mode:, and, if one is set, Next Phase:.
  4. Select the Notices tab to review the school's notice history, with the newest notice first. Each entry means a notice was sent, but it does not confirm delivery.
  5. Select the Custom Fields tab to see the accreditation custom field values defined for your account.

Accreditation Number: used to be labeled Number, but the label was updated to avoid confusion with the CRM organization number shown elsewhere on the page. It reflects the order in which the accreditation record was created, not a number tied to the organization record, so the two numbers can differ. You can enter a renewal date, reinstatement date, termination date, and lapse date on the accreditation edit form, but those dates do not appear on this page or on the Accreditation Details tab after you save them.

When you run a query that filters by phase or date, Rhythm looks at the exact value on the accreditation record. If the stored phase or date does not match your filter as closely as you expected, the school may not appear in the results.

Tip

The School 360 shows the accreditation for the program you're currently working in. If a school is accredited in more than one program, you see only the accreditation that matches your current program; use (change) to switch programs and view another one.

Warning

When a school has accreditations in more than one program, the status at the top of the page has occasionally continued to show a different program's status after switching programs. If the status looks wrong for the program you expect, check that the Accreditation Details tab's Program: field matches your current program before assuming the status itself is incorrect.

Accreditation status can also appear elsewhere in your account, such as in a member or organization directory, without custom setup. Rhythm pulls that value from the accreditation application itself, not from a placeholder field you would otherwise need to maintain separately.

Edit, Add, or Copy the Identifier

Use the page header and options menu to work with the school's accreditation:

  • Edit Accreditation Info — shown when the school has an accreditation — opens the edit form. See Edit a School's Accreditation.
  • Manually Add Accreditation — shown instead, when the school has no accreditation in your current program — opens the add form with the school already chosen. See Add a School to a Program.
  • Copy Accreditation ID to Clipboard, in the options menu, copies the record's identifier so you can paste it elsewhere, such as a support request or a query. This works only when the school has an accreditation in your current program.

Result

Rhythm shows a confirmation message with the copied identifier. If your browser does not allow the page to use the clipboard, Rhythm tells you instead.

Tip

The accreditation's identifier is not listed in the Accreditation Details fields. If you need it for anything other than pasting it right away, use Copy Accreditation ID to Clipboard and paste it where you need it, or look it up through a saved query. Some screens show the identifier directly beneath the organization's own number instead; if you see it there, you can read it from the page.

If a school's accreditation still does not display after you've cleaned up its record, use Manually Add Accreditation to add it again. That is the quickest way to restore it, but it can leave two accreditation records for the school in a query, so check for and delete the extra record after the school's accreditation displays correctly.

Related Reading

The Visits, Reports, and Notices tabs on the same page belong to their own areas of Accreditation. Each tab shows the school's related records, or a message when the school has no accreditation. A query can show accreditation data for an organization whose School 360 shows no status when the accreditation record on file is associated with a different organization than the one you're viewing. That is a data-association mismatch to resolve, not a sign that the page is broken. For everything else about the organization behind the school, including contacts, addresses, and history, see Review a Contact's 360 Page for the equivalent view on the people side of your directory. The custom fields shown here come from your account's custom field setup for accreditations.
