Once you save a billing run, Rhythm prepares it by finding every matching record and creating one action per record for you to review. This article explains how to use the run’s page to review planned actions, refresh them against current records, exclude or include individual actions, run the billing, or cancel it. To create or change the run’s settings, see Create or Edit a Billing Run.
What This Does and When to Use It
Use the run’s page any time after you save a run and before it executes. You can confirm that the right schools or visiting teams were included, refresh the list if records changed, exclude a specific school for this run, or start the run yourself instead of waiting for a schedule.
Prerequisites
- You need the same administrator-level access to Billing that lets you create a run.
- The run must already be saved. Open it from Accreditations › Billing or from a link you were sent.
Read What a Run Is Set Up to Do
- Open the run.
- On the Details tab, review the read-only summary of each job in the run. It shows the programs, schools, phases, or visit types the job is limited to, along with its date range and the notice it sends.
- Check the dates and status card. It shows the scheduled and actual preparation, refresh, and run dates that apply, plus the run’s current status.
If the run has an error, a red Error Information card shows the error text.
Review the Run's Actions
- Select the Actions tab. Once the run has at least one action, the tab label shows the action count.
- Use the filters above the table to narrow the list by target name, action type, or status. After the run has been refreshed, you can also show only actions that changed since the last refresh.
- Select an action’s target name to open the school or visit behind it.
Tip
Select the green download icon beside the filters to download the action list as a spreadsheet.
An action with an error status shows a warning icon. Select the icon to open the error message in a dialog.
Refresh a Run Before It Executes
Refreshing rebuilds the action list from current records. It adds newly matching schools or visits as new pending actions and marks records that no longer match as no longer eligible, while leaving actions that still qualify in place.
- Open the run while it is ready or queued for execution.
- Select Refresh.
- Confirm when asked.
Result
The action list updates, the run’s statistics are recalculated, and a preparation report is emailed again to the run’s notification address.
Warning
The product does not settle whether an action you already excluded stays excluded after a refresh. If you excluded anything, check the action’s status again after refreshing.
Exclude or Include an Individual Action
- On the Actions tab, find the action.
- Select Exclude on a pending action to leave it out, or Include on an excluded action to put it back.
Result
The action’s status changes immediately. Excluding or including an action does not require you to rerun the saved run, and it does not ask for confirmation.
You can exclude and include actions until the run completes.
Let the Run Execute, or Cancel It
A run you create in the wizard does not include its own execution time. It executes only when you start it manually, or when a recurring schedule’s execution step applies.
- Once the run is ready for execution, select Run Now.
- Confirm when asked. The confirmation explains that processing cannot be stopped or undone.
Result
The run is queued. Within a few minutes, every pending action carries out: notices are sent and phase advancements are applied.
To stop a run before it executes:
- Open the run while it is still in an early or waiting status.
- Select Cancel Run.
- Confirm when asked. The confirmation explains that cancelling cannot be undone.
Warning
You cannot delete a billing run from the Console after it is saved. Cancelling is the closest available control, and it stops the run rather than removing it.
A Site Visit That Received a Team Notice Cannot Be Deleted
Once a billing run has sent a team notice about a site visit, that visit cannot be deleted, even if the run is later cancelled. This protects the run’s record of what it did.
