If your school’s contact role allows it, you can manage visiting-team candidates in the Portal without asking staff to make updates for you. Use this page to view your school’s candidates, nominate colleagues, approve candidates, or mark them inactive.
Before You Begin
Prerequisites
- Your school must have an accreditation record for the current program. If your school has more than one accreditation, Rhythm uses the first one listed here.
- To add, approve, or deactivate candidates, your contact role must include the Manage Team Candidates permission or be an administrative role. An administrator sets this under Setup › Contact Roles. If you do not have that permission, you can still see the list, but the management buttons do not appear.
- Every contact linked to your school can see the full list, including each candidate’s email address and job title, even if they cannot manage candidates.
- This page only lists candidates tied to your school. A person can be a team candidate without belonging to any school; in that case, they are managed from their own record instead of this page, and you will not see them here.
See Your School's Team Candidates
- From the Accreditation Profile block on your school’s Portal page, select Manage Team Candidates.
Result
You see your school’s name and a table of team candidates for the accreditation’s program. The table shows each person’s name, email address, job title, and status. If your school does not have candidates yet, you see a short message instead of the table.
Nominate a Colleague as a Candidate
- Select Add Team Candidate.
- Under Select a Team Candidate:, choose one of your school’s own contacts.
- Select Add Team Candidate again to save.
Result
The person becomes a candidate right away. Nominations created from the Portal are Approved, not Pending, because your school approves its own nominees. If the person already has a lapsed candidacy in the program with no school, Rhythm reuses that candidacy instead of creating a second record, so existing notes and custom field answers stay with it.
If someone is already an active candidate for another school, Rhythm cannot add them again and shows a message that the candidate could not be added. Check whether the person is already on the list before you try again.
Approve or Deactivate a Candidate
- Next to a candidate who is not already Approved, select (approve). Confirm when asked.
Result
The candidate’s status changes to Approved, and the refreshed list shows the updated status.
To deactivate a candidate, select (mark inactive) next to their row and confirm. This changes the candidate’s status to Inactive without removing them from your school’s list. They stay linked to your school, still appear on this page, and can be approved again later. Mark someone inactive instead of leaving their status blank so they remain easy to find here and in reporting afterward.
Tip
Marking a candidate inactive is different from taking them off your list entirely. The Portal only offers Mark Inactive; it does not offer a separate action that removes someone from the list while clearing their school link. If a person has left your school for good, ask the accrediting body to remove them. That change is less easily reversed than marking someone inactive, which is why it is handled outside this page.
Why You Might Be Refused
Each action on this page only works for your own school’s candidates. If you try to manage a candidate for a school your contact does not represent, such as by following a link meant for someone else, Rhythm refuses the change. In normal use, this is unlikely because the Portal only shows your own school’s list and only offers actions for that list. A parent organization also cannot nominate or manage team candidates for a child organization from this page; each school manages its own list.
