If your school has a scheduled site visit, the Portal shows it with your school’s accreditation information. If you are on the visit team, the visit also shows which reports you can view or submit. To submit a report, see Submit a Report in the Portal.

Before You Begin

Prerequisites

  • Your contact must be linked to an organization with an accreditation record. You only see site visits for your own organization. This does not guarantee that every visit assigned to you appears. If a specific visit is missing, contact your accrediting staff, because the issue is usually with that visit record rather than your access.
  • To see report access as a visit team member, your own organization needs an accreditation record. It does not have to be the school being visited.
  • If you are assigned to a visit team but your own organization has no accreditation record, the Portal can show "Your organization does not have an accreditation record" instead of the visit. Being on the team is not enough by itself; you also need that organization link.

Tip

If you cannot see any accreditation information for your own organization in the Portal, ask your accrediting staff to add you as a team candidate for it. That gives you access to review your organization’s accreditation information, but it does not change how visits or reports display.

See Your School's Site Visits

  1. From your school’s Accreditation Profile, open your list of site visits.

Result

You see the site visits scheduled for your school. Select a visit to open it and see which reports are still owed. If you are on the visit team, you also see which reports you can act on.

Warning

On a visit page, the school name is a link. If the visit belongs to a school other than your own, that link can open your own organization’s accreditation profile instead of the visited school’s profile. Treat the displayed name as a label, not as a reliable way to navigate to the visited school’s profile.

Accreditation does not include a dashboard that shows which team members have accepted or declined a visit assignment. If you need that overview, ask your accrediting staff, who track acceptance from the console.

See Which Reports You May View or Submit for a Visit

When you open a visit where you are a team member, the Portal shows whether you can view, submit, or neither for each report. Your access comes from the reporting rules your association set for that visit type and the role you hold on the team. If your role has no reporting rights for a required report, you cannot view or submit it.

Tip

If you can submit a report, you can also view it. Your association may show the role’s access as “submit only,” but that access lets you both view and submit the report.

You can still open a visit before you have been added to its team. In that case, the Portal shows every expected report, but you cannot view or submit any of them.

Tip

If Submit Report shows no available reports when you open it directly, open the specific site visit first and start the submission there. The Portal’s general submission page only offers your school’s reports. A visit’s owed reports become available after you open that visit.

To submit a visit report, you currently need to open the site visit first. The Portal does not offer report submission as a standalone destination outside that visit’s page.

If a Visit or Its Reports Don't Appear

A few situations can keep a visit or its reports from showing up, even when your access is otherwise correct:

  • A pending team invitation. If you have accepted a team assignment but it is still pending, you may not see anything for it on this page yet. You also cannot accept or act on a pending assignment from here. This is more likely when your own organization has no accreditation record, because the Portal shows the "no accreditation record" message instead of an invitation to respond to.
  • A broken visit record. If the page for your visiting team’s assignments will not load, an incomplete or incorrect visit can be the cause, such as one missing its date or visit type. Ask your accrediting staff to check for and remove any broken team assignments tied to that visit; that has restored access for other users.

Why You Can't See Another School's Visits

The visits list only shows visits for your own school. If you try to open another school’s list, such as by following a link meant for someone else, the Portal refuses the request.

Why You Can't See Someone Else's Report Access

You can only see what you personally can view or submit for a visit. The Portal does not let you see another team member’s report access, regardless of which school they belong to.
