Rhythm includes three ready-made access policies for Sponsorships: Read Only, Day-to-Day User, and Administrator. This article explains what each policy allows and which one a staff member needs to open Setup and Sponsorship Settings.
What It Controls
The policy you assign to a staff member controls what they can see and do in Sponsorships. It covers viewing records, running queries and reports, working with applications and sponsorships, and opening Setup and the two settings pages. Only the Administrator policy gives access to Setup.
Where to Find It
Assign one of these policies from your account’s staff access settings, the same place you give staff access to other parts of Rhythm.
The Settings
| Policy | What It Allows | Setup and Settings |
|---|---|---|
| Read Only | View Sponsorship records, and run Sponsorship queries and reports | No |
| Day-to-Day User | Handle everyday Sponsorship work, including processing applications, managing opportunities and sponsorships, and running queries and reports | No |
| Administrator | Do everything the other two policies allow, plus open every Setup page and both settings pages | Yes |
The Administrator policy also includes the separate right to manage custom fields and web forms for sponsorship applications and sponsorships. This right is separate from managing custom fields elsewhere in your account, so you can grant one without granting the other.
Dependencies and Precedence
Other Settings and Contact Role Permissions Settings use the same access requirement. You cannot let a staff member change one without letting them change the other; the two always go together.
Tip
The Setup entry appears in the left menu for every staff member, even if they do not have Administrator access. When someone without Administrator access selects Setup, they see an access-denied message instead of the setup checklist, so the menu item does not show who can actually open it.
Change Impact and How to Revert
When you change a staff member’s policy, the change takes effect the next time they use Sponsorships. You do not need to sign them out. If you remove Administrator access from someone, you also remove their access to Setup, both settings pages, and the sponsorship-specific custom field and web form rights.
Permissions
Only someone with Administrator access, or an equivalent account-wide security permission, can grant these policies to other staff.
Validation and Errors
If a staff member without Administrator access opens Setup, Other Settings, or Contact Role Permissions Settings directly by address, Rhythm shows an access-denied message naming the missing permission and does not open the page. If a staff member says they cannot reach Setup or Settings, check that they have the Administrator policy instead of Read Only or Day-to-Day User. For the general pattern behind these messages, see I Get "Access Denied" or a Button Is Greyed Out.
