A sponsorship opportunity is the package you sell to sponsors, such as “2027 Gold Sponsorship.” It holds the details sponsors and staff need later, including the name, category, event link, price, capacity, sale dates, approval requirement, included benefits, and the emails sent when someone buys and activates it. Use this article to create, edit, clone, or delete an opportunity.

What It Controls

An opportunity is the item your Rhythm account sells. Applications, sponsorships, benefits, and dashboard counts all build from the opportunity record. A General opportunity stands on its own, while an Event opportunity links to a specific event and adds the sponsor to that event’s sponsor list after you save it.

Where to Find It

Go to Sponsorship & Benefits › Opportunities. The Opportunities page opens, where you can search for an existing opportunity or create a new one.

  • Create Opportunity opens a blank form.
  • Select a result’s name to open that opportunity’s 360 page, where you can use Edit Opportunity or the Opportunity Options menu options Clone this Opportunity and Delete this Opportunity.

Create or Edit an Opportunity

Prerequisites

  • At least one active category must exist before you can save a new opportunity. If none exist, the Category: field has no choices. See Sponsorship Categories.
  • For an event opportunity, create the event in Events first.
  • For a benefit with a charge, create the add-on product it uses first.
  1. Go to Sponsorship & Benefits › Opportunities and select Create Opportunity, or open an existing opportunity’s 360 page and select Edit Opportunity.
  2. Choose a Type: — General or Event. When you choose Event, Rhythm shows Event: and requires you to complete it.
  3. Choose a Category: from your account’s active categories.
  4. Enter a Name:. Include the year, such as “2027 Gold Sponsorship,” so you can tell similar opportunities apart later and scan search results more easily.
  5. Set Maximum Available for Sale: if you want to limit how many can be sold, or leave it blank for no limit.
  6. Set the price and business unit in the pricing panel. If one opportunity needs multiple buyer-selectable prices that share one capacity, such as three commitment levels that all count against the same cap, collect the buyer’s choice on a contact custom field. You usually do this through the application’s contact form, then create a separate special pricing rule for each field value and price.
  7. Optionally, enter a Description, which sponsors see in the Portal.
  8. Tick This opportunity is available for sale to list it in the Portal, then use Sell from: and Sell until: to control the online selling window.
  9. Tick This process requires approval, and should not activate the sponsorship immediately when staff should review the purchase before the sponsorship activates.
  10. Add included benefits with Add Benefit, and set up optional benefit groups if sponsors can choose extras.
  11. Turn on Confirmation Email and Activation Email as needed, then write or confirm their content. See Send a Preview of a Sponsorship Email to test them.
  12. Select Save Changes.

Result

When you save a new opportunity, Rhythm creates its identifier from the name unless you are cloning the opportunity and enter an identifier yourself. You cannot change the identifier after you save. When you save an existing opportunity, Rhythm returns you to its 360 page with the updated details.

Clone an Opportunity

Open the source opportunity’s 360 page, open Opportunity Options, and select Clone this Opportunity. Rhythm opens a new opportunity with a blank identifier and copies the price, benefits, optional benefit groups, and emails. Enter the new name and identifier to carry last year’s “2026 Gold Sponsorship” into “2027 Gold Sponsorship.” A cloned opportunity always starts with nothing sold.

Delete an Opportunity

Open the opportunity’s 360 page and select Delete Opportunity, or select Delete this Opportunity from Opportunity Options, then confirm. Deleting removes the opportunity from your catalog, the Portal, and search, and you cannot undo it.

Warning

Rhythm will not delete an opportunity that any sponsorship or application still refers to. The 360 page does not check for those records before you confirm the delete, and the failure message does not identify which record is blocking it. If a delete fails, look for existing sponsorships or applications for that opportunity before you try again; the failure message points you to your account’s database relationships to find the dependent records. An opportunity linked to a transaction cannot be deleted this way at all. If the only thing blocking the delete is a financial configuration, open Opportunity Options › Modify Financial Configuration, remove that configuration, and then delete the opportunity. If you have a batch of opportunities with no dependent records at all, you can mass delete them through Bulk Changes instead of deleting them one at a time.

The Settings

Setting Options Default Effect
Type: General, Event Your last choice in this browser, else General Event opportunities require an event and link to it; deleting that event later deletes the opportunity
Category: Your account’s active categories Your last choice in this browser Groups the opportunity and is required to save
Event: Your account’s events Empty Required, and only shown, while Type: is Event
Maximum Available for Sale: A number, or blank Blank (unlimited) Sets the capacity used to calculate how many remain; see the warning below
This opportunity is available for sale On, off On for a new opportunity Lists the opportunity for online purchase in the Portal
Sell from: / Sell until: Dates and times Empty Controls the online selling window; see the warning below
This process requires approval… On, off Off Holds a purchase for staff review instead of activating the sponsorship immediately; reveals the Confirmation Email switch

Warning

Maximum Available for Sale: affects sold-and-remaining counts, but it does not stop sales by itself. Sponsors can still buy past the stated capacity because this field does not block checkout on its own. Rhythm also does not check whether Sell until: is after Sell from:. If you enter the dates in the wrong order, Rhythm saves the opportunity but never lists it in the Portal. An opportunity marked available for sale with no Sell until: date stays listed indefinitely.

Dependencies and Precedence

  • When you change an opportunity’s category or event, Rhythm checks that the new category or event still exists. You cannot point an opportunity to a category or event that has been removed.
  • When you remove an included benefit on this form, Rhythm removes it from the opportunity. Any sponsorship that already has that benefit keeps its own copy, but it loses the link back to the opportunity’s definition.
  • You can change an opportunity’s accounting settings, such as its revenue accounts, from Opportunity Options › Modify Financial Configuration on the 360 page without opening the full edit form. The 360 page does not refresh automatically after you save those changes, so reload it to see the updated information, such as the price shown.

Change Impact and How to Revert

  • Editing an opportunity replaces the whole record. If someone else saved a change to the same opportunity after you opened it, Rhythm refuses your save as out of date instead of overwriting their work. Reopen the opportunity to get the current version, then make your edit again.
  • The first edit you make to a brand-new opportunity resets its sold count to zero, even if something recorded a sale against it during that short window. After that first edit, later saves do not reset the count.
  • If you no longer want to sell an opportunity, retiring it is safer than deleting it. Turn off This opportunity is available for sale instead. Deleting is permanent, and Rhythm blocks it only after a sponsorship or application already refers to the opportunity.

Permissions

You need the access your account grants for sponsorship opportunities to create, edit, or clone one. Deleting an opportunity requires a separate delete permission. Without it, the delete controls are disabled or show an access-denied message instead of the usual confirmation.

Validation and Errors

  • Rhythm refuses to save an opportunity without a Name:, Category:, or Type:.
  • Rhythm refuses to save an event opportunity without an Event:.
  • Rhythm refuses to save an opportunity that names a category, event, or add-on product that no longer exists.
  • Rhythm refuses an identifier with a space. After you save an opportunity, you cannot change its identifier.
  • Rhythm refuses to save from an out-of-date copy of the opportunity instead of silently overwriting a newer change.
  • Rhythm refuses to delete an opportunity that a sponsorship or application still refers to, and the message does not identify which records are blocking it.
