An activity is one continuing-education item a member reported, such as a course they attended or an article they wrote, along with the credits it is worth. Use this article to find activities across your account, review an activity, log one for a member, correct or verify a reported activity, and delete one reported in error.

Prerequisites

  • Access to Certifications › Activities in the Console.
  • The matching permission when you need to log an activity for someone, or edit or delete an existing activity.

Find Activities

  1. Go to Certifications › Activities.
  2. Enter any combination of search criteria: Type:, Date:, Quantity:, Status:, or ID:.
  3. Select Search.

Result

The results table lists matching activities with each activity’s type, owner, name, date, quantity, and status. Select the activity’s type to open the full activity record, or select the owner to open that contact’s record.

Tip

The Status: filter works only when you choose exactly two statuses. Rhythm stops the search if you choose one status, or three or more. If you only need one status, pair it with a second status, or search without a status filter and check the Status column in the results.

To see everything one person has reported, open that contact’s record and use the Activities tab. It lists that contact’s activities directly, so you do not need to run a separate search.

Open an Activity to Review It

  1. From the search results, select the activity's type to open it.

Result

The activity page shows the owner, name, type, quantity, reporting process used, any attached file or a note that no file was attached, the date it was last processed, and any additional details. It also includes the Credits and Custom Fields tabs.

Tip

On the Credits tab, a credit line’s credit type sometimes shows as a raw identifier instead of a readable name. If that happens, open the credit to see its full details.

Log an Activity for a Member

  1. From the activities search page, select Log a Certification-Related Activity. To start from a specific contact, open that contact's record, go to their Activities tab, and use the same button there; Rhythm preselects the contact for you.
  2. Choose the contact and the activity type, then select Continue.
  3. Complete the reporting process form the same way the member would if they reported it themselves.

Result

Rhythm saves the activity, processes it into credits immediately, and sets its status to processed. If the reporting process sends a confirmation email, the email goes to the member instead of you.

Tip

When you log an activity this way, you see only the reporting processes and credit choices a member would see for that activity type. If you need to record a credit type the form does not offer, record the credit directly instead of logging an activity for it.

Mass Updates can change existing certification activities, such as their status, but it cannot create new ones. To add activities in bulk instead of one at a time, use Import Records under Custom Data Tasks if your account has that capability; otherwise, create each activity individually as described above.

Correct an Activity's Details

  1. Open the activity, then select Edit Activity.
  2. Update any of the Contact:, Name:, Date:, Type:, Quantity:, File Upload:, Status:, or Additional Details fields, and any custom fields your association has added for activities.
  3. Select Save Changes.

Result

Rhythm saves your changes and returns you to the activity page.

Tip

The activity's Quantity: field is separate from the quantity on the credits it produces. Raising the activity's quantity does not automatically multiply the credit quantity issued; open the credit itself if you need to adjust how much it's worth.

Warning

Saving here updates only the activity record. It does not change the credits the activity already produced, rerun the activity type’s rules, such as which credit types apply or whether a file is required, or reprocess the activity. If you move an activity to a different contact or change its date, the existing credits stay with the old contact and old date. Only logging or reprocessing an activity replaces its credits.

Change an Activity's Review Status

To mark a reported activity Under Review or Verified in the Console, change Status: on the activity’s edit page. You can change any status to any other status; there are no restrictions on which changes are allowed.

Rhythm does not change an activity's status by itself. Status changes are manual unless an optional API or LMS integration has been configured to update them, which requires setup on your account. To move several activities into review at once instead of editing them one by one, run a mass update from an Activities query to set Status: to Under Review. Once updated, those activities appear in the Pending Approval query for staff to review. The same approach works for other statuses, such as filtering an Activities query on Status: Processed and updating them together.

Tip

Verifying an activity does not verify the credits it produced. Those credits keep the status they already had, separate from the activity’s own status.

Delete an Activity

  1. Open the activity you want to remove.
  2. Select Delete Activity.
  3. Confirm the deletion when prompted.

Result

Rhythm removes the activity and returns you to the activities search page.

Warning

Rhythm will not delete an activity while any credit still points to it. If Rhythm refuses the delete, delete the activity’s credits first, then try again. If a delete attempt fails, reload the page because the on-screen deleting indicator can remain after the failure is reported.

If you need to remove many activities at once instead of one at a time, use Mass Deletes when it's available in the left menu under Mass Updates. It works like a mass update, but removes matching activities instead of changing them.

Custom fields your association has defined for activities use the same custom field setup as custom fields elsewhere in Rhythm. To learn how the credits an activity produces are tracked as they are used, see How Credit Usage Is Tracked.
