Once you save a billing run, you can reopen the same wizard to change its actions, filters, schedule, notification address, and notices.
When to Use This
Edit a billing run when you need to change its filters, scheduled time, notification address, or notices before the run’s plan is built again. For example, you might add or remove a program, training provider, or status reason. If you only need to review or start the plan the run already has, see Review, Refresh, and Schedule a Billing Run's Plan instead.
Prerequisites
- Permission to work with billing runs.
Edit a Billing Run
- Find the run (see Find Billing Runs and Their History) and open its page.
- Select Edit to reopen the wizard.
- Change the run's actions, filters, dates, notices, name, or notification address as needed.
- Select Schedule Billing Run.
Result
Rhythm saves your changes, sets the run’s status back to Scheduled, and removes any execution date it had. If you had already scheduled the run to execute, it is no longer due to run until you schedule it again from the run’s page. Actions that were already planned before your edit are not rebuilt automatically; they stay in the plan until you refresh the plan or the run is planned again.
Limit a Run's Work
Each action has its own filters, so you can narrow one action without changing the others on the same run:
- Programs. Limit an action to selected certification programs, or to every program except the ones you choose. Because you set this filter separately for each action, one run can drop certifications in one program while sending reminders for every program.
- Training Providers. Limit application work and provider invoicing to selected training providers, or to all training providers except the ones you choose.
- Status Reasons. Limit certification or application work to records with selected status reasons. This filter is not offered for training-provider invoicing.
- Application Types. Limit application reminders, activations, and expirations to selected application types, such as new certification, renewal, or reinstatement. When this filter is on, transfer applications never qualify for those actions.
Warning
The training-provider filter works reliably only for application-related actions and provider invoicing. Certifications do not carry their own training provider, so a training-provider restriction does not filter renewal reminders, drops, or forecasting the same way it filters applications. Rhythm plans a different set of certifications than the filter suggests, and it does not warn you that the restriction was not applied as intended. To limit certification-related actions, use program or status-reason filters instead.
The review step’s summary of included programs and status reason has previously been reported as unreliable. It showed "all programs will be included" and omitted the chosen status reason, even though the run had specific certification programs and a status reason selected. If the review summary looks wrong for a run you filtered this way, do not assume your saved filters were dropped. Treat the difference as something to double-check, not as confirmation that the run will process every program.
Set the Schedule and Notification
Notification Email: sets where Rhythm sends the run’s planning, success, and failure reports. Enter one address only, not a list of recipients. Rhythm does not check whether the address is formatted correctly, so it accepts a malformed address silently and the reports do not reach anyone.
Tip
Before scheduling, review the banner on the review step to see whether the run’s notices will be sent or redirected. This warning is informational only and does not block scheduling. A run created by a recurring schedule never shows this banner, because recurring schedules do not use this wizard.
Notices This Run Sends
When you choose an activation or expiration notice on the run’s Activate Applications or Archive/Deactivate Expired Applications action, that notice does not currently reach the applicant when the run executes. Rhythm accepts and saves your choice, but those two actions do not pass the notice to the individual planned action. If you rely on applicants being notified when a run activates or expires their applications, verify separately that the notice went out instead of assuming this setting guarantees it.
Training-Provider Invoicing Availability
Bill Training Providers is offered as an action only when your account’s Certifications settings enable training-provider billing. This limit applies only in the Console: a run created through the API, copied from an older run, or generated from a template saved while the setting was on can still invoice training providers after the setting is turned off.
