Awards shows running counts on the account-wide overview and on each award’s pages. You can see how many awards are open and how many applications, nominations, nominees, and recipients an award has. This article explains what those counts include, how to refresh a count that looks out of date, and how to open the records behind a total.
When to Use This
Use these counts when you want a quick view of award activity without running a full search or report. If you need the individual records behind a total, open them directly from the count.
What Each Count Covers
Every count on these pages includes only your organization’s records, so your numbers are never mixed with another organization’s numbers. The records included depend on where you see the count:
- On the account-wide Awards overview (Awards & Nominations › Overview), when your account uses the classic view instead of an analytics dashboard, two tiles show Open Awards and Applications for Open Awards. Open Awards counts awards dated later than today. Applications for Open Awards counts all applications for those open awards, including withdrawn and declined applications.
- On an award's own Applications page, the figures show that award’s total applications, plus how many are approved, declined, and withdrawn.
- On an award's own Nominations and Nominees pages, the figures show how many nominations the award has and how many distinct nominees are included.
- On an award's own Recipients page, the figure shows how many recipients are recorded for the award.
Tip
"Open Awards" only means the award’s date is later than today. An award dated today is not included in this count, even if it appears elsewhere, such as a Portal list of current awards.
Refresh a Count That Looks Out of Date
- Find the count’s tile on the overview or on the award’s page.
- Select the tile’s refresh icon.
Result
Rhythm recalculates the count and updates the number on the tile.
Warning
Rhythm saves a calculated count and reuses it instead of recalculating every time the page loads. There is no fixed rule for how long a saved count stays current. If a tile looks out of date, such as after you add several applications in a row, refresh the tile instead of waiting for the page to catch up on its own.
Open the Records Behind a Count
Select a count’s number, not its refresh icon, to open the records behind the total.
- Select the number on the tile you want to explore.
Result
Rhythm opens the query tool with a ready-made query for that count already filled in. The query is limited to your organization and, for an award-specific tile, to that award. Selecting the tile takes you straight to the relevant records, so you do not have to build the same query by hand.
Tip
The records returned by a query reflect your Rhythm account’s data at the moment you run it. Because a tile may show a saved count from earlier, the query result can occasionally differ slightly from the tile. If they disagree, the query result is the more current answer.
Tip
A count or its drill-down is for totals, not precise timing. If you need an exact submission or record time, query using a timestamp-capable field such as Submission Date, Sys Created At, or Sys Last Modified At instead of relying on what a tile shows.
