Use the Candidates overview to search all team candidates for the current program. You can find candidates, review status counts, and check candidacy from a school or person record. To add or change a candidate, see Add and Manage Team Candidates.

Before You Begin

Prerequisites

  • Select the program you want to work with as your current program. The overview, counts, and search results show candidates for that program only.
  • You need permission to view team candidates before you can open the Candidates overview.

See Counts by Status

  1. Go to Accreditations › Candidates.

Result

The four figures across the top count candidates in the current program: Approved Candidates, Inactive Candidates, Pending Candidates, and Total Candidates. When you mark a candidate inactive, they continue to count under Inactive Candidates instead of disappearing from these figures, so they remain available for reporting. Select any figure to open those people as a query in the Query Center, where you can add your own criteria to narrow the results. See Design and Run a Query for help working with the results once you are there.

Tip

These figures, and similar callouts elsewhere in Accreditation, give you a broad summary rather than a precisely scoped count. For example, the separate Candidates KPI on the Accreditations overview page includes Approved, Inactive, and Pending candidates together, rather than counting only approved or active candidates. When you need an exact or narrower number, open the figure as a query and add criteria instead of relying on the count alone.

Search for a Candidate

  1. On the Candidates overview, fill in any combination of criteria: Name:, City:, State:, Country:, Job Title:, Email Address:, School:, Status:, or ID:.
  2. Select Search.

Result

The results list matching candidates in the current program, with links to each person's record and each school's record. Names display as Last Name, First Name; the column header still reads Name, because that label cannot be changed. School: includes every organization in your account, whether or not it has candidates, and returns no results when the selected organization has none. Results are sorted by last name, ten to a page.

This search looks only at fields stored on the candidate record itself, which are the criteria listed above. It cannot filter by a related contact's role, a custom field on the contact or the candidacy, or any other data that is not on this list. The Country and Email Address criteria also cannot be removed from the form, even if your association never uses them. Use a query when you need to filter or report on data that is not a candidate-record field.

Warning

This search can reach the limit on how many results it loads. If a banner tells you not every matching candidate could be shown, or if you need the complete list for export or reconciliation, open the same population as a query instead. You can start from one of the counts above or from a school's Candidates tab, then work from the query results, which always return every match. The search results here do not have their own button to open a query or download.

The Approved Candidates count above matches this search only when you set Status: to Approved. If you leave Status: blank, the search can also include Pending and Inactive candidates, so an unfiltered search total will not match that count. A query you open from a count or a school's list also starts broadly, covering every status it includes, until you add your own criteria to narrow it.

Tip

Your browser remembers your criteria and your last results for this page, so you can open a candidate and return to the overview without losing your place.

Get Back to Candidates You Looked at Recently

The Candidates overview shows a Recently Viewed Candidates panel while you are working with the search criteria. After you run a search, the results table replaces that panel. The panel lists people you opened from this program, most recent first, so you can jump straight back to their records. When you open a candidate's name from your search results, that person is added to the list and appears there the next time you clear your search.

See Whether Someone Is a Candidate, from Their Own Record

Open a person's record and go to the Candidate Info tab. If they have a candidacy for the current program, the tab shows a green banner with their status and any custom field answers. If they do not, the tab says so plainly and offers to register them. This tab reflects only the current program, so someone who is a candidate in a different program shows as not registered here. The tab shows the candidate's current status only. It does not keep a history of earlier statuses or record when a status changed, so do not use it for status history.

See a School's Own Candidates

Open a school's record and go to its Candidates tab to see everyone the school has put forward for the current program. The tab shows each candidate's job title and, in the third column, their primary phone number, as built-in columns alongside their name and status. A custom candidate field you defined is not available as a column here. A standard field like job title can be added, but a custom one currently cannot, so use a query when you need a school's candidates by their custom field values. Use the filter box to match candidates by name or email address. From there:

  • select a candidate's name to open their record;
  • use Add Candidate, the pencil, (mark inactive), or the trash icon to manage the list directly — see Add and Manage Team Candidates;
  • select Open in Query to list the school's candidates, with their contact details, in the Query Center.

Tip

This tab has no bulk action for changing several candidates at once. When you need to update many candidates together, select Open in Query and make the change from the query results instead.

A candidacy no longer appears on this tab after it loses its link to the school, either because someone removed it with the trash icon or because it lapsed automatically.
