Some billing work repeats on a calendar. For example, you might send a reminder to every school whose accreditation expires next quarter on the first of each month. A recurring billing run sets that schedule. You choose a billing template and a repeat pattern, and Rhythm creates each billing run from that template when the scheduled time arrives.

What It Controls

Recurring billing run setup controls which billing template runs on a schedule, how many days before the run date Rhythm builds the run for review, and whether the schedule repeats daily, weekly, monthly, yearly, or on a custom pattern.

Where to Find It

Go to Accreditations › Setup › Billing › Recurring Runs. The list shows each schedule's name, repeat pattern, next run date, and active status.

To create a schedule, select Create Recurring Billing Run. To change a schedule, select its Edit icon. To start from a copy of an existing schedule, select Clone.

The Settings

Setting Options Default Effect
Name: Any text Empty Identifies the schedule in the list
ID: Suggested from the name Suggested Sets the schedule's permanent identifier
Billing Template: One of your active billing templates None Builds each run from the selected template. Only active templates appear in this list
Status: Active, Inactive Active Controls whether Rhythm uses the schedule
Pre-Processing Lead Time (days): A number 1 Sets how many days before the run date Rhythm builds the run for review, so you can check and approve it before anything is sent
Billing Run Schedule Daily, weekly, monthly, yearly, or advanced repeat pattern The first day of every month at 11 PM Sets when the schedule runs

Dependencies and Precedence

  • Only active billing templates can be scheduled. If a template used by an existing schedule is later made inactive, the schedule still names that template, but the template picker only offers active templates going forward.
  • The next run date is calculated when you save the schedule and again after each run happens. Changing your device's clock or editing the linked billing template does not move the next run date up. Save the schedule to recalculate it.
  • The billing template carries all of the run's actual behavior — its jobs, filters, notices, and notification address. The schedule only decides which template runs and when. See Billing Templates.

Change Impact and How to Revert

  • A schedule that has ever created a run can't be deleted, even after that run has finished. To stop the schedule permanently, mark it inactive instead.
  • Marking a schedule inactive is reversible at any time.

Permissions

Creating, editing, and deleting recurring billing run schedules requires access to Accreditation setup. Ask your administrator if you need this access.

Validation and Errors

  • A schedule needs an active template. If your account has no active billing template, the template picker is empty and you can't save a schedule.
  • An invalid repeat pattern is refused when you save, though the exact wording depends on the pattern you tried.
  • A schedule that a billing run still names can't be deleted. See Change Impact above.
