Rhythm includes three ready-made Accreditation roles: Read Only, Day-to-Day User, and Administrator. Use these roles when you need to give a staff member Accreditation access without building a custom role. This article explains what each role opens, including why Setup and Billing currently require the Administrator role.
Prerequisites
You need access to your Rhythm account’s security setup to assign a role to a staff member.
What This Controls
- Which ready-made Accreditation role a staff member has.
- Whether the staff member can open Accreditation Setup, run Billing, or work only with day-to-day records.
The Three Ready-Made Roles
| Role | What it opens |
|---|---|
| Read Only | View access across Accreditation, including Accreditation queries and reports |
| Day-to-Day User | Day-to-day Accreditation work, including schools, visits, reports, evaluations, and notices, but not Setup |
| Administrator | Everything in the Day-to-Day User role, plus Accreditation Setup and Billing |
Each role also includes the access a staff member needs to sign in to the Console and open Accreditation. You do not need to add anything else for the role to work.
Warning
The Read Only role includes broader query and report access than its name suggests. It grants every action on Accreditation queries and reports, not only the ability to run or view them.
Tip
The Day-to-Day User role’s on-screen description mentions contacts and organizations because that wording came from a similar role in another application. You can ignore that wording; the role still grants the day-to-day Accreditation access described in the table above.
Setup and Billing Need the Administrator Role
Only the Administrator role currently opens Accreditation Setup and Accreditation Billing. No ready-made role opens Setup without Billing, and no ready-made role opens only the settings pages. If a staff member needs to configure Accreditation without running Billing, or run Billing without configuring Accreditation, create a custom role in addition to, or instead of, the ready-made roles. For more about how permissions and roles work together in the Console, see How the Console Decides What You Can See.
Tip
You do not have to route every accreditation charge through Accreditation Billing. Many associations include the annual accreditation fee in their annual membership dues, then use an order for a miscellaneous product to charge other accreditation-related fees, such as a visit or a phase, separately. If your association works this way, staff who only create those orders do not need the Administrator role.
Choosing a Role
| If a staff member needs to… | Assign |
|---|---|
| Look up schools, visits, reports, or run queries and reports, without changing anything | Read Only |
| Do day-to-day Accreditation work, including managing schools, visits, reports, evaluations, and notices | Day-to-Day User |
| Configure Accreditation Setup, run Billing, or both | Administrator |
Permissions
You assign a role from your Rhythm account’s security setup, in the same place you assign roles for other applications. Ask your administrator if you are not sure where to find it.
Change Impact
Adding or removing a ready-made role takes effect the next time the Console re-checks the staff member’s access. If access looks out of date right after a role change, have the staff member sign out and back in, or wait a few minutes, before assuming the change did not take effect. Removing a role removes every grant included in that role, so assign a second role first if the staff member needs to keep some of that access.
