Before you rely on a notice email, or after you edit one, send a real copy to yourself or someone else. The preview uses data from an actual school or visit, but it does not save anything or email the school or visiting team.
What It Controls
A preview shows exactly how the notice email will look with the content currently on the form, including edits you have not saved. Use it before you send the notice for real, or before you save changes that future sends will use.
Where to Find It
Open the notice you want to check: Setup › Accreditations › Notices › Create Accreditation Notice for a school notice, or Setup › Visits › Team Notices › Create Team Notice for a team notice. In the email section, select Preview beside the merge-field picker.
- For an accreditation notice, the dialog is titled Preview Application Notice. Enter an existing accreditation's identifier and a destination email address, then select Send Preview.
- For a team notice, the dialog is titled Preview Team Notice. Enter an existing site visit's identifier, enter a destination email address, and choose a contact so the recipient merge fields fill in for that contact. Then select Send Preview.
Each dialog includes a tip that shows where to find the identifier from the accreditation or visit record page options menu. For an accreditation notice, open the accreditation's School 360 page and select Copy Accreditation ID to Clipboard from its options menu. For a team notice, open the visit's Site Visit 360 page and select Copy ID to Clipboard from its options menu.
Warning
The CC field on a notice does not support merge fields. If you need to add a recipient dynamically instead of typing a fixed address, add that person through a contact role configured to receive the notice instead of referencing the contact in CC.
Dependencies and Precedence
- The preview uses the email exactly as it stands on the form right now, including changes you have not saved. If you leave the notice editor without saving, Rhythm discards those changes like any other unsaved edit; previewing does not save them for you.
- One address per preview. Each preview goes to the one destination address you enter, not to the school or the visiting team.
- Nothing is recorded on the school or the visit. A preview leaves no trace on the accreditation or visit record.
- Contact merge fields are available on Team Notice templates. If you want a team notice to include information about a specific contact, use the Contact fields in the merge-field picker when you edit the template. The preview fills them in with the contact you choose in the dialog.
Change Impact and How to Revert
Sending a preview only delivers one email. It does not change your notice or any record, so there is nothing to revert.
Permissions
You can preview a notice from any notice form you can already open. Rhythm does not check an additional permission when you send a preview.
Validation and Errors
- Both the identifier and the destination address are required. If you leave either field blank, Rhythm shows a validation message and blocks the send.
- An identifier for a record that doesn't exist causes the preview to fail. Correct the identifier and try again.
- Any text you type in the destination address is accepted because Rhythm does not check whether it is formatted as an email address, so a typo may still appear to send successfully.
- A preview that appears to send but never arrives can point to an unsupported merge field in the notice's own recipient setup, such as the CC field described above. Check the notice's recipient setup before assuming the message failed to deliver.
