When staff record a report review outcome, they choose a status and can add a report status reason, such as “Missing financial statements.” Use this setup to manage the reasons staff can choose.
What It Controls
Report status reason setup controls the list of reasons staff can select when they set a report’s status. The same reason list appears for every report status, because reasons are not tied to specific statuses. Any reason can be used with any report status.
A status reason is separate from the report status itself. This setup manages the reasons only, not the status values a report can have.
Where to Find It
Go to Accreditations › Setup › Reports › Status Reasons. The list shows every report status reason in your Rhythm account, when it was last changed, and whether it is active. Inactive reasons stay hidden until you select (show all).
To add a reason, select Create Report Status Reason. To update an existing reason, select its Edit icon. To create a new reason by copying an existing one, select Clone.
The Settings
| Setting | Options | Default | Effect |
|---|---|---|---|
| Name: | Any text | Empty | The reason staff see and reports display |
| ID: | Suggested from the name | Suggested | The reason’s permanent identifier |
| Status: | Active, Inactive | Active | Controls whether staff can choose the reason on reports going forward |
Warning
If you update the status reason on many reports through an import, use the reason’s ID:, not its displayed Name:. The import accepts only the ID, so entering the label text fails.
Dependencies and Precedence
- A reason isn't restricted to any particular status. Staff can choose any report status reason with any report status.
- Reasons are used when staff set a report's status — see Manage a Report Record in the Console and Track and Manage Report Reviews.
Change Impact and How to Revert
- Renaming a reason is safe because its identifier stays the same.
- Deactivating a reason stops staff from choosing it on new or edited reports, but it does not remove the reason from reports that already use it. You can reactivate the reason at any time.
- Deleting a reason cannot be undone, and it only works when no report uses the reason. If any report uses it, Rhythm refuses the delete. Deactivate the reason instead when you want to retire it without losing history.
Permissions
Creating, editing, and deleting report status reasons requires access to Accreditation setup. Ask your administrator if you need this access.
Validation and Errors
- Name is required. You cannot save a reason without a name.
- A reason that a report still carries can't be deleted. Deactivate the reason instead, or first change the reports that use it.
