A recurring gift’s page shows its current status, progress so far, and the charges and gifts it has created. Use this reference to understand each status and frequency, the figures in the page header, and what appears on the Financials and Linked Gifts tabs.
Statuses
| Status | What it means |
|---|---|
| Active | The recurring gift is charged every period |
| Suspended | Charges are paused, with an optional end date |
| Payment Error | Collect’s last charge attempt was declined |
| Cancelled | Charges have stopped permanently |
| Completed | The billing schedule has reached its end date |
Cancelled and Completed Are Not Enforced as Final
Cancelled and Completed mark the intended end of a recurring gift, but Rhythm does not stop staff, a donor, or an automated process from changing that recurring gift back to Active. If a recurring gift moves out of Cancelled or Completed, nothing in the product blocks that change today.
A recurring gift’s status can also change automatically when its billing schedule changes. For example, a declined charge moves an Active recurring gift to Payment Error without any staff action.
Frequencies
A recurring gift’s frequency is Monthly, Quarterly, or Annually. Rhythm shows the frequency in title case on the recurring gift’s Details tab.
The Recurring Gift Page Header
At the top of a recurring gift’s page, a card shows the donor, amount per charge, credited fund, and start date. Below the card, four figures summarize the recurring gift’s progress:
| Figure | What it shows |
|---|---|
| Amount Given | The total amount given so far through this recurring gift |
| # Gifts | The number of gifts this recurring gift has produced |
| Next Scheduled Gift Date | The date the next charge is due |
| Status | The recurring gift’s current status, shown in title case |
Tip
Amount Given and # Gifts update automatically when billing creates or changes gifts. Opening the page does not recalculate them. If a very recent gift is missing from these totals, refresh from the recurring gift’s options menu to reload the page with the latest saved values.
After each recurring installment processes successfully, the header figures update to reflect it, including Next Scheduled Gift Date.
The Details Tab
The Details tab shows the credited fund, campaign, and appeal; the amount per charge; any staff notes; and the frequency. It also shows these dated fields only when they are set:
| Field | When it appears |
|---|---|
| Last Processing Date | After the recurring gift has charged at least once |
| Next Gift Date | While a next charge is scheduled |
| Suspended Until | Whenever the record has a suspension end date, no matter what the recurring gift’s current status is |
| Ends | Only when the recurring gift has an end date |
Some fields on this tab, such as a premium or tribute, belong to a one-time gift’s details panel. They never apply to a recurring gift, so they do not appear.
The Financials Tab
The Financials tab lists the invoices and payments behind the recurring gift’s charges, with the newest items first. Each item links to that invoice or payment in the Collect Console. If nothing has been invoiced or paid yet, the tab shows a message that no financials are associated with the record. Each successfully processed installment adds its own invoice and payment entries here, alongside the original charge.
The Linked Gifts Tab
The Linked Gifts tab lists every gift this recurring gift has produced, ten at a time, with the newest gifts first. Each row shows the gift’s date, name, amount, and fund. Select a gift to open that gift’s page. If the recurring gift has not produced any gifts yet, the tab shows a message saying so.
Warning
Deleting a recurring gift also deletes every gift listed on this tab. Review this list before you delete a recurring gift if you need to know what else will be removed.
