If your Rhythm account’s organization forms include the company lookup component, you can fill in many organization details from the company’s web domain instead of typing them yourself.
Use this when you’re creating or editing an organization and you know its website or web domain. This won't help when the organization has no domain of its own, or when it uses a personal email provider such as gmail.com for email, because Rhythm always refuses those lookups.
This article covers the lookup on organization forms. On a contact form that uses the Contact Social Lookup component, Rhythm can separately create and link an organization from the contact's email domain while you create or update that contact, unless Disable Organization Auto Creation? is turned on for the form.
Prerequisites
- The organization create or edit form must include the company lookup component. Not every Rhythm account uses it, and an administrator can turn it off on a form even when the component is present. If you do not see a domain field that starts a lookup, your Rhythm account may not have this set up.
Look Up a Company
- Open the organization you want to create or edit. See Edit an Organization's Details if you’re changing an existing organization.
- Enter the organization’s web domain in the lookup’s domain field, such as
acme.com. Enter only the domain itself, and do not include a protocol prefix such ashttps://; Rhythm formats the domain for you. - Move on, or wait a moment. If Rhythm finds a public profile for that domain, it fills in the details it found, typically the company name, description, logo, and social media links.
- Review the filled-in fields, correct anything that does not look right, and save the organization as usual.
Warning
The domain-based lookup uses a public company-profile match, not your saved organization records. Because of that, it can fill in a company name that does not exist anywhere in your Rhythm account. If the name looks wrong or unfamiliar, verify it before saving.
Result
Fields filled in by the lookup work like values you typed yourself. Rhythm does not save them until you save the organization, and you can change them before saving.
Why a Lookup Might Come Back Empty
A lookup can come back empty for a few common reasons:
- The domain belongs to a personal email provider. Rhythm refuses to look up
gmail.com,outlook.com,yahoo.com,yahoomail.com,hotmail.com,aol.com,inbox.com,mail.com, andmindspring.com, because the lookup would return the email provider’s profile instead of the organization’s. If the organization uses one of these domains for email, type its details by hand. - No public profile exists for the domain, or the outside lookup service has not finished preparing one yet. Rhythm does not fill in any fields either way, but you can still save the organization by typing the details yourself. If the profile was still being prepared, trying again a little later sometimes helps.
- The domain is spelled differently from the organization's real one, or it belongs to a related company with a different name than the organization you’re adding.
These results do not stop you from saving the organization. The lookup is only a shortcut for typing, not a requirement.
Tip
After anyone successfully looks up a domain, Rhythm keeps and reuses the profile it found for that domain across every Rhythm account. The next organization with the same domain fills in instantly from the stored answer instead of running a new lookup.
Turning the Lookup on or Off
An administrator controls whether a form offers the lookup, and whether it is currently turned on, from the form setup at Rolodex (CRM) › Setup › Organizations › Forms, using the component’s Disable Social Lookup? setting. If the lookup should be available on a form and it is not, or the reverse, ask your administrator to check that form’s setup. Locking or protecting the organization name field by itself may not reliably stop the name from changing through social lookup in some portal flows, so use Disable Social Lookup? to disable the lookup itself.
If It Fails
- Nothing fills in after entering a domain. Confirm that the domain is not for one of the personal email providers listed above, and that you typed it correctly. If it is a legitimate company domain and nothing fills in, no public profile may exist for it yet, so type the details by hand.
- The lookup seems to do nothing at all, even for a domain that should work. The lookup component may be turned off on this form, or your Rhythm account’s connection to the outside lookup service may not be configured. Contact Support if this happens across many organizations.
- A filled-in field is wrong or out of date. Lookup results come from a public profile that is not always current. Correct the field by hand; your correction is what gets saved.
- An organization's logo doesn't show, even though one was set. If the saved or looked-up image URL is invalid or unreachable, Rhythm shows its default placeholder image instead. A missing logo does not necessarily mean one was never set.
