Adding an organization to Rhythm makes it available for contacts, orders, and memberships. Each organization gets its own record with a name, and Rhythm assigns its number after you save.

Prerequisites

Your role must allow you to create organizations.

Create the Organization

  1. Go to Organizations, then choose Create Organization.
  2. Choose an Organization Type, or leave it blank. Rhythm remembers the type you last chose in this browser and suggests it again.
  3. Choose Continue.
  4. Complete the form your account uses for this type. If the type does not have its own form, complete the general organization form instead. Save when you are done.

Result

Rhythm saves the new organization, assigns its number automatically, and opens the organization page.

You cannot set or keep your own value in the ID field when you create an organization. Rhythm always replaces it with the generated number.

Tip

The type you choose in step 2 determines which create form opens. For example, a school and a vendor can use different forms if your account has set them up that way. If neither the type nor your account’s general settings names a create form, Rhythm cannot continue and shows a message instead of the form.

Tip

To create many organizations at once, use Custom Data Tasks › Import Records instead of creating them one at a time. Set Application to Contacts & Organizations and Service to Organizations. Before you import, you can check whether any organizations already exist by running an Organizations query with the "is in list" operator against your spreadsheet values. You can review the required import fields in the Data Dictionary for the Organizations service.

What the Form Can Include

Your organization form can include your account’s custom fields for organizations, along with standard details such as addresses, phone numbers, and a website or domain. Organization forms use the same custom fields your account defines elsewhere in Rhythm. If the form includes an address or phone entry beyond the standard ones, you must choose a type for that entry, such as "Billing" or "Shipping", before you can save.

Some forms elsewhere in Rhythm, such as a contact form, show both an Organization field and an Organization Name field. Use Organization to select an organization record that already exists. Use Organization Name to type the name of a new organization that does not exist yet.

Warning

An organization-selection field on another form, such as a contact form, selects an existing organization only. It does not create a new organization record, and it does not automatically link a newly created organization to the contact.

Warning

Saving does not check whether the organization name is unique. Rhythm accepts two organizations with the same name, so search by more than the name if you are not sure whether one already exists.

If Something Goes Wrong

What you see What it means and what to do
No console create organization web form configured. Please configure the appropriate form in Rolodex settings. Neither the chosen type nor your account’s general settings names a create form. Ask an administrator to set one on the type or in account settings.
The save is refused and no organization is created A name is required, so check that you entered one. If your form includes a custom address or phone entry, make sure you chose a type for it too.
Unable to save organization The save failed for another reason, such as a reference to a parent organization, type, or region that no longer exists. Check those fields and try again.
Create Organization is available, but saving is refused with an access-related message Your role may allow you to open the create page without allowing you to save. Ask an administrator to confirm your access to create organizations.
