Record and Edit an Activity

An activity is a dated note on a contact’s or organization’s timeline. Use activities to record a phone call, site visit, email exchange, or anything else worth keeping. Activities appear on the Activities tab of a contact’s or organization’s page, with the newest activity first and older entries grouped by month.

You can also search and filter entries on the tab. The Activity Type filter only shows activity types that already have at least one matching activity on that record. A type you configured does not appear as a filter choice until someone uses it there, because choosing it would not return any results.

Record a New Activity

Prerequisites

  • Your account must have at least one activity type set up. If it does not, the dialog has no options to show for Activity Type.
  • Your role must include permission to add activities. If it does not, Add Activity does not appear.
  1. Open the contact’s or organization’s page, then go to the Activities tab.
  2. Choose Add Activity.
  3. Choose an Activity Type. Rhythm suggests the type you last used on this kind of record and fills in the Summary with that type’s name, so you can keep it or enter your own.
  4. Enter the Activity Date.
  5. Add a Summary and, if you want to include more detail, a Description.
  6. Fill in any of your account’s custom fields for activities that appear below the description.
  7. Choose Save Changes.

Result

The activity appears at the top of the timeline under the correct month, and the tab’s count increases by one.

An activity you record from a contact’s page belongs to that contact. An activity you record from an organization’s page belongs only to the organization, so it does not appear on the timelines for contacts at that organization. Email activity also appears only on a contact’s own timeline.

Correct or Remove an Activity

  1. On the Activities tab, point to the activity you want to change. The edit and delete icons appear on the same line as the date and time.
  2. To correct the activity, choose the edit icon, update any field, including its type, date, summary, description, or account fields, and save.
  3. To remove the activity, choose the delete icon and confirm when Rhythm asks Are you sure you want to delete this activity?

Result

A saved edit updates the entry in place. A confirmed delete permanently removes the activity from the timeline, and you cannot restore it from the timeline afterward.

Tip

The edit and delete icons stay hidden until you point to the activity’s row. You cannot reach them from the keyboard alone, so use a mouse or another pointing device to work with individual activities.

Warning

Any staff member with the right permission can edit or delete any activity on the timeline, not only the activities they created. An edit can also change the activity type or the record the activity belongs to, and there is no separate approval step.

If Something Goes Wrong

What you see What it means and what to do
The activity will not save, and Rhythm names a missing field Every activity needs a type and a date. Fill in both before you save.
An activity recorded from an organization’s page never shows up on any of its contacts’ timelines This is expected. An organization-only activity stays on that organization’s timeline. To put the same activity on both, the activity must name both a contact and an organization when it is created.
The timeline will not load at all An activity on the timeline may point to a type that no longer exists. This prevents the whole timeline from loading, so ask an administrator to check whether an activity type was recently deactivated or removed.
Your edit did not take effect, and the activity looks unchanged You may have been working from a page that had not refreshed since a colleague made their own change. Reload the contact’s or organization’s page, then try the edit again.
Add Activity does not appear on the tab Your role does not include permission to add activities. Ask an administrator.
