Run a Historical Engagement Scoring Lookback

Engagement scores are calculated one month at a time, starting when you turn on scoring for your Rhythm account. A lookback is a one-time job that fills in past scores by measuring roughly the last five years of activity, so you start with history instead of a blank slate.

Run a lookback when you first turn on engagement scoring for your Rhythm account. If you changed a scoring model and want to recalculate every past score with the new rules, use the related Regenerate historical and current scores task on the same page. You also use these two tasks to recover after a scoring problem. After you fix an issue with your scoring logic or historical data, run regeneration to bring stored scores back in line with the corrected data. If whole months of history are still missing, run the lookback as well. After the fix takes effect, regeneration also creates up-to-date scores for records that now qualify.

Prerequisites

  • Your Rhythm account must have the engagement scoring add-on and at least one scoring model chosen. If it does not, both cards on this page are hidden.
  • Your role must include administrator access to run either job. If it does not, the button on the card is disabled.

Run the Lookback

  1. Go to Rolodex (CRM) Setup & Administration, then Maintenance Tasks.
  2. Find the card Perform Engagement Scoring Lookback. Its description says you can only do this once.
  3. Choose Initiate.

Result

The button reads Initiating... briefly while Rhythm sends the request. A message then confirms the job has started and says it will take a few minutes to complete. Rhythm shows this message before the job finishes, and the page does not show another confirmation when the lookback is complete. The lookback measures roughly sixty months of activity and creates one score per month for each of those months.

Warning

The page says you can only run the lookback once, but Rhythm does not enforce that limit. If you run it again, Rhythm starts another lookback instead of stopping you. A second run rescores the same five years using the scoring models in effect at that moment. If you changed a model after the first run, the second lookback effectively updates history to match it.

A lookback measures past activity using the data Rhythm has today, so some numbers are necessarily approximate. Rhythm judges a contact's or organization's membership by its current status, not by what it was in an earlier month. Custom engagement metrics also use today's values instead of a historical snapshot.

Regenerate Historical and Current Scores After Changing a Model

Use this instead of, or in addition to, a lookback when you have changed how a scoring model weighs or measures engagement and want every stored score to reflect that change.

  1. On the same Maintenance Tasks page, find the card Regenerate historical and current scores.
  2. Choose Initiate.

Result

Rhythm deletes every engagement score in your Rhythm account, then recalculates each one from scratch using the current scoring models. The button reads Initiating... until the full regeneration finishes, then shows a message saying regeneration has started. Although the message says the job has started, the deletion and recalculation are already complete by the time you see it.

Warning

Rhythm does not show a confirmation dialog for this action, and it deletes every existing score before rebuilding them. You cannot preview the effect first or restore the previous scores afterward. Run it only when you are ready for Rhythm to rewrite your engagement history with the current models.

If Something Goes Wrong

What you see What it means and what to do
Unable to perform lookback The job could not start or failed partway through. Check that your Rhythm account still has the engagement scoring add-on and a scoring model chosen, then try again.
Unable to perform regeneration Regeneration failed. Scores may already have been deleted before the failure. After the underlying problem is resolved, run regeneration again.
The Initiate button is disabled Your role does not include administrator access for this task, or your Rhythm account does not have the engagement scoring add-on.
You ran the lookback a second time on purpose Rhythm allows this even though the page says otherwise. It rescores the same five years with your current models.
Regeneration finishes without errors, but scores don't actually change Raw measurement data can still exist when a scoring model is set up incorrectly. In that case, regeneration can finish without updating scores. Check your scoring model's configuration before you assume the job failed.
A large account's historical scoring runs slowly or fails without a clear reason In accounts with many contacts, this kind of run has failed because the process ran longer than its allotted time. If this happens, try again, or contact Support if it continues to fail. There isn't a setting you can change yourself to extend the time allowed.
