Once you schedule a billing run, Rhythm builds its plan with one action for each record reached by the run’s filters. The run has not changed those records yet. Use this step to review the plan, adjust who is included, and choose when the run executes.
When to Use This
Use this task after a billing run has been planned and before it executes. You can see who or what the run will affect, remove actions that should not happen, and start the run when you are ready. You can also return to a completed run to review what happened and see why any actions failed.
Prerequisites
- Permission to work with billing runs.
Review the Plan
- Open the billing run’s page and select the Actions tab. The tab shows a count after the actions load.
- Use the name filter to narrow the list by target. Use the type and status filters to narrow it by action or outcome.
- Select a row’s target name to open the certification, application, or training provider behind it.
Result
The table shows every planned action, including its target, expiration date, action type, and status. A red warning icon in the status column means that action has an error. Select the icon to read the error message.
Before you rely on the plan, check the run's Statistics tab for a high-level count of actions by status. Reviewing the statistics and the action rows helps you confirm the plan looks right before you schedule execution. This also applies to a run scheduled for a future date, because the plan is already built and ready to review before it is due.
Tip
For a Bill Training Providers action, select the small information icon beside the target’s name to see how many records that provider is being billed for. After the run executes, the same details include a link to the invoice.
Exclude or Restore an Action
- Find the action in the list.
- Select Exclude on a pending action to keep it from happening, or select Include on an excluded action to add it back.
Result
The row updates to its new status right away. After a run shows Completed, this option is no longer available.
Warning
Exclude and Include save immediately, with no confirmation and no bulk option. You can only change one action at a time.
Refresh the Plan
Refreshing rebuilds the run’s plan from current data. Records that now qualify are added, such as an application whose expiration date has since moved into the run’s window. Records that no longer qualify are dropped.
- On the run’s page, select Refresh.
- Confirm the warning that this reruns the run and updates its actions.
Result
Rhythm rebuilds the plan and records when the refresh happened. You can then filter the actions list to see only what changed since the last refresh.
Refresh is available when a run is ready for execution or scheduled for execution. A refresh checks qualification only when you run it, so if a record’s eligibility changes again after your last refresh, the run will still act on it unless you refresh once more first.
Schedule the Run for Execution
- When you are satisfied with the plan, set the run’s execution time from its page, or select Run Now to execute it immediately.
- Confirm the warning.
Result
Rhythm carries out every pending action once the execution time arrives.
Warning
Editing the run through the create-or-edit wizard afterward removes its execution time, so it is no longer due to run until you schedule it again.
Cancel a Run
Select Cancel Run on the run’s page to stop the run before it executes. This option is available while the run is Draft, Scheduled, Ready for Execution, or Scheduled for Execution. Rhythm confirms first that cancelling cannot be undone.
