A credit transcript shows each credit a person has earned, with one line per credit and totals at the end. This article explains what each line includes, how Rhythm flags health-safety-welfare (HSW) and landscape-architecture continuing-education (LA CES) credit, and why the printed total may not match the quantities shown on the printed lines.
What Each Line Shows
Each transcript line shows what earned the credit, who provided it, when it started, and where it happened:
- Name. Rhythm shows the activity name first. If there is no activity, it shows the course name; if there is no course, it shows the event name.
- Provider. Rhythm first looks for a provider custom field on the activity, then for a provider value already saved on the credit, and then for the training provider linked to the credit. If none of those are available, Rhythm uses the credit's origin and formats it like a title, such as "Legacy System."
- Start date. Rhythm uses the activity's custom start-date field first, then the event start date, and then the course offering start date. The same underlying course-related credit can show differently elsewhere, such as one day later where course credits are aggregated or as an end date in the Portal. Use the transcript's start date as the date that follows these rules.
- Location. Rhythm uses a custom location field on the activity first, then the event's own location field. For a course offering, Rhythm shows "City, State" for an in-person offering and "Remote" for any other offering.
If Rhythm cannot read a record that a line depends on, that part of the line stays blank. The transcript still prints the rest of the line normally.
Tip
A printed transcript can also show a course code with the fields above when that value is available on the credit's source record. Rhythm's transcript layout keeps a line's start date and course code from overlapping or running together in the printed output.
Not every field is available for every credit, because each line uses fields from the record that earned the credit. A credit from an activity is the only kind that can fill every transcript column. Course- and event-sourced credits use fewer fields, so some columns on those lines are expected to stay blank.
Tip
Custom provider and location values appear only when your organization has defined the right custom fields on activities, course registrations, or events. If a transcript line is missing a provider or location you expected, check that those custom fields exist and are filled in on the record that earned the credit.
Health-Safety-Welfare and Landscape-Architecture Credit
Some boards require part of a person's credit to be health-safety-welfare (HSW) or landscape-architecture continuing-education (LA CES) credit, and transcripts can flag those categories. Rhythm recognizes these categories by custom field name only. A custom field on the activity, course registration, or event whose name ends in __hsw__c marks that credit as HSW credit. A custom field ending in __laces__c or __la_ces__c marks it as LA CES credit. The activity, course registration, and event can each have a matching field. If any one of those fields is set to a true value, the credit is flagged. A field with any other name is not recognized, even if it serves the same purpose.
When a credit is flagged as HSW, Rhythm adds its quantity to the transcript's overall HSW total as long as the credit counts toward totals. LA CES does not have a separate running total; it appears only as a flag on the line.
Credits themselves do not carry custom fields, so an HSW or LA CES value must come from a custom field on the activity, course registration, or event that earned the credit. It never comes from the credit record directly.
How Totals Work
A transcript totals credits overall and by credit type. Two behaviors determine what those totals include:
- Draft and rejected credits are printed but not counted. These credits still appear as lines on the transcript, but Rhythm does not add their quantity to totals or add any HSW flag to the HSW total. When draft or rejected credits are present, the printed total can be lower than the sum of the quantities shown on the printed lines. This is expected and is not an error.
- Archived credits are counted. An archived credit adds to its credit type's total and to the overall total, the same as a verified or submitted credit.
If your account has a negative credit quantity, Rhythm adds it to totals the same way it adds a positive quantity. Totals use each credit's stored numeric quantity and are rounded only once, in the final displayed number, not line by line.
If Rhythm cannot find a credit's credit type, such as when the type was deleted, the line shows "Unknown Credit Type" instead of leaving the credit type blank.
Limits on What Else a Transcript Can Do
Two transcript options you might expect are not available through the Portal or the Console today:
- Restricting a transcript to certain credit types. The underlying tool supports limiting a transcript to a chosen set of credit types, but neither the Portal nor the Console gives you a way to set that restriction. You can reach it only through a direct integration call.
- Getting a transcript's content directly instead of a rendered document. The Portal, the Console, and integrations cannot return a transcript's raw content instead of the document it normally produces. Any request that tries to do this is refused.
