Every person who has worked with Certifications has a certification profile. Rhythm keeps this small record automatically, separate from the person’s application and certifications. You will not see a screen called "Certification Profile" in the Console, because the profile works behind the scenes. It remembers the person’s details, stores their most recent application answers, and connects them to the training provider that serves them.
One Profile per Person
Rhythm keeps exactly one certification profile for each contact. Because the profile is based on the contact record, a person never has more than one. You also cannot list every certification profile at once in Certifications; instead, you open a profile through the person it belongs to. If you try to delete a contact who still has a profile, Rhythm does not allow the deletion.
Because the profile is tied to the contact, you use the same contact tools you already use to find and manage people. See Create or Edit a Contact for how contact records work in Rhythm.
What the Profile Carries
A certification profile carries two kinds of information that Rhythm keeps current for you:
- A copy of the contact's details. Each time the profile is saved, Rhythm copies the person’s name and contact information from their contact record to the profile. That copy reflects the profile’s most recent save. If the contact’s email or name changes and the profile is not saved again, the profile keeps the older details until the next save.
- The answers from their last application. When someone submits a certification application, Rhythm saves those answers to their profile. The next time that person applies for something else, Rhythm uses those saved answers to pre-fill the new application. If Rhythm cannot save the latest answers to the profile, the application still goes through, and the next application pre-fills with the older answers already on the profile.
Tip
If an applicant says their new application showed old information, their previous application answers most likely were not saved to their profile. Rhythm used the answers from the application before that instead.
Linking a Person to a Training Provider
A certification profile names at most one training provider. Rhythm uses that link to know which provider is responsible for a candidate, student, or certificant.
People link themselves to a training provider in the Portal by identifying the provider that serves them. After the link is made, Rhythm keeps it until the person changes it through the same Portal process.
Warning
Staff do not currently have a Console screen where they can change the training provider linked to a person. If the link needs to change, the person must use the same Portal process they used to set it in the first place.
Seeing Who a Training Provider Serves
Rhythm keeps an up-to-date, name-sorted list of every person linked to a training provider. Rhythm rebuilds that list automatically each time a profile is saved with that provider named on it. No Console screen currently shows this list directly to staff. If you need to know everyone connected to one training provider, contact Support for help reaching that information because it is not available from a Console page.

A person’s certification profile is separate from the certification itself, and each is tied to a person differently. A certification is linked to whichever contact its own certification contact field names. To stop a certification from being tied to a given person, change that certification's contact to the correct person instead of trying to change anything on their profile. To understand what a certification’s status and dates mean after someone is certified, see Certification Status, Reasons, and Governing Dates. For how training providers are set up, including their locations and the programs they may certify people in, see your administrator’s training-provider configuration.
