The first figures you see in Finance & Billing summarize your organization’s money at a glance. They show what customers still owe, what came in and went out recently, and how revenue changed over the last year. Each figure is also a shortcut, so you can select it to open the records behind the number.
When to Use This
Use the dashboard when you need a quick read on your organization’s financial position, or when you want to review the records behind a summary. For a fuller picture and more report options, use Finance & Billing’s built-in finance reports. To search for a specific invoice or payment instead of browsing a summary, see Find and Review Invoices.
Prerequisites
- You need to be signed in. You do not need a specific finance permission to view the figures.
- Go to Finance & Billing › Overview. This is the first page you see when you open Finance & Billing.
- Read the three figures across the top:
Open A/R — the amount customers still owe across every invoice that is not marked pro forma, across every business unit and currency you have. Fully paid invoices are not included, even briefly, because only the remaining amount owed counts.
Open A/R — the amount customers still owe across every invoice that is not marked pro forma, across every business unit and currency you have. Saved historical snapshots use the same open-invoice scope, so you compare the same kind of figure against an older snapshot.
Payments (Month to Date) — the amount that has come in since this day last month, compared with the month before.
Revenue (Last 30 days) — the amount billed since this day last month, compared with the month before.
- Review the Revenue Last 12 Months chart below the figures. It breaks invoiced revenue down by product type over the last year. Each line uses a product type name from your own account, so a label such as "Packages" reflects how your account names that product type, not a fixed Rhythm category.
- Select any figure’s number to open the records behind it in the Query Center.
- Select the small refresh icon on a figure’s tile to replace the stored number with the current one.
Result
Each tile shows the figure’s number and, when available, its percentage change from the previous period. When you select a number, Rhythm opens the Query Center and runs a prepared query for that figure’s records.
Why a Figure Might Look Out of Date
Rhythm stores each figure’s answer for up to a day instead of recalculating it every time the page loads. Because of that, the number you see can be up to a day behind your latest invoices and payments. Open A/R has sometimes continued to count an invoice after it was marked Paid. If the figure looks too high based on recent payments, check the drill-down list for any invoice that shows Paid but is still listed there. If you need the current number:
- On the tile, select the small refresh icon.
- Rhythm recalculates the figure from your current records and replaces the stored number for everyone in your account. This is not a personal view, so refreshing updates what everyone sees.
Tip
The Revenue Last 12 Months chart does not have its own refresh control. It can be up to a day behind the three figures above it, which you can refresh individually.
Opening the Records Behind a Figure
When you select a figure’s number, Rhythm opens the Query Center with a query already prepared for that figure. For example, Open A/R opens a list of open, non-pro-forma invoices. The list that opens is not guaranteed to add up exactly to the number you selected, because the figure and its list use separate counting rules. They can define the same idea slightly differently. For example, “month to date” on the tile and the actual date range used by the figure and its list are not always the same window. Treat the figure as a summary and the list as a starting point for investigation, not as a reconciliation of the number.
Similar Figures on Other Pages
The Batches, Billing, and Check Requests pages show their own status counts the same way, such as how many batches are open, closed, or in error. Like the dashboard figures, these counts cover your whole account across every business unit. The records shown beside them on those pages are limited to your current working business unit, so the count and the visible list can differ.
If You See a Different Dashboard
Some accounts show a different, configured analytics dashboard on this page instead of the figures described above. If your account has that turned on, you will see that dashboard’s own charts here instead of Open A/R, Payments (Month to Date), Revenue (Last 30 days), and the revenue chart. That dashboard’s content is set up separately from Rhythm and is not covered by this article.
