If your Rhythm account has more than one business unit, you keep more than one set of books and work in one at a time. Rhythm calls the selected set your working business unit, and it tracks a working currency with it.

Setup pages under Finance & Billing, including G/L accounts, bank accounts, departments, and accounting projects, show only the records for your working business unit. When you need to move between the different sets of books your association keeps, switch the working business unit.

Your working business unit also affects some screens outside Setup. For example, when you receive an ACH payment, Rhythm only offers bank accounts from your currently selected business unit. That means two people on the same Receive Payment screen can see different bank account choices if they have different working business units selected.

When to Use This

Switch your working business unit and currency when you need to work with a different set of books. For example, switch before you set up G/L accounts, bank accounts, departments, or accounting projects for another business unit, or before you create a new record that should belong to one.

Also switch to the intended business unit before you select Receive Payment on an invoice. If you open Receive Payment first and then switch business units, the payment has been known to fail with an unclear error. Select the correct business unit first, then start the payment. If a payment fails with a technical-sounding error, such as one mentioning "ServerError," check whether you switched business units partway through, then try again after selecting the correct business unit from the start.

Prerequisites

  • None beyond being signed in to a Rhythm account with more than one business unit. Any signed-in Finance & Billing user can make this change; it is not limited by role.

Switch Business Units

  1. On any Finance & Billing Console page that shows the breadcrumb bar, find the control on the right that shows your current business unit and currency.
  2. Select it to open the Change Working Business Unit dialog.
  3. Choose the business unit and currency you want to work in.
  4. Save your changes.

Result

Setup lists in this area, such as G/L accounts, bank accounts, departments, and accounting projects, immediately filter to the business unit you chose without reloading the page. New records you create from this point default to that business unit.

Tip

Rhythm remembers this choice in your browser, not with your Rhythm account sign-in. If you share a computer with a colleague, you may see the business unit they chose last.

Some financial reports, such as A/R Aging, have been observed not to refresh automatically after you switch business units. If a report's figures look wrong right after switching, use the report's own Refresh control before you assume something else is off.

If Your Business Unit Was Deleted

If the business unit you chose is deleted, Rhythm uses your account's first business unit and its base currency the next time you sign in instead of showing an error. Choose the business unit you want to work in again using the steps above.

Warning

This choice lives in your browser, not on your Rhythm account. It is not tied to your sign-in, so it does not follow you from one computer or browser to another. On a shared computer, Rhythm keeps showing whichever business unit was chosen last, no matter who is signed in. If a Setup list looks emptier than expected, or shows records that do not seem to belong there, check the working business unit control first.

Related Reading

Several Finance & Billing tasks, such as creating a billing run and granting a manual credit, ask you to choose a business unit on the record itself. That choice is separate from your working business unit, though your working business unit is often where you will want to start.

When you manually create an invoice from Transactions, Rhythm creates the invoice in the currency you select in its own multi-currency dropdown, not necessarily your working currency. Keep an invoice's currency and its payment's currency in agreement. For example, recording a payment in a different currency than its invoice, such as a euro invoice paid through a payment transacted in US dollars, can produce errors when that activity is reviewed on ledger reports.
