The billing overview is your starting point for billing runs. Use it to create a run, find an existing run, or check installment billing that needs attention.
When to Use This
Use this page when you need to find a billing run you or someone else created. You can also use it to compare active installment schedules with schedules that have run into trouble.
Prerequisites
- Permission to work with billing runs.
Check the Overview Figures
- Go to Finance & Billing › Billing.
- Review Active Installment Schedules and Failed Installment Schedules at the top of the page. Select either number to open the schedules behind that count. Failed Installment Schedules includes schedules with a suspended, payment declined, or error status.
Result
Each figure opens the underlying list of schedules, so you can see exactly which customers make up the count.
When a recurring gift is cancelled in the Portal, the installment schedule linked to it has sometimes not been picked up by a Cancel Installment Schedules billing run. In those cases, the schedule stays active even though the gift shows cancelled. If you suspect this is affecting an account, list open-balance invoices tied to orders that are linked to an installment schedule. That gives you a working list of potentially affected accounts to check individually.
Search for a Billing Run
- On the billing overview, enter any combination of Name:, Run Date:, Status:, Operations:, or ID:, then select Search. Every field is optional, and leaving them all blank returns every run.
- Use Status: to narrow the results by lifecycle stage, such as scheduled, ready for execution, or completed. Use Operations: to find runs that perform specific actions, such as sending statements or processing installment schedules.
- Select a result's name to open that run's page.
Result
Matching runs appear in a table with their name, status, and run date. If a run has not run yet, the table shows its scheduled run date. Runs with no run date show a blank date column until they execute.
Tip
The Recently Viewed Billing Runs panel, to the right of the search criteria, lists runs you have opened recently so you can return to one without searching again.
Warning
A search that matches a very large number of runs returns only the first page of results. If you are looking for an older run and a broad search does not include it, narrow your criteria, such as by name or a tighter date range, instead of assuming the run does not exist.
Tip
Choosing more than one value in Operations: finds runs that perform every action you picked, not runs that perform any one of them. If you want every run that sends statements, whether or not it does anything else, search Operations: for Send Statements alone.
Warning
A billing run's own page can show a repeated "Unable to load billing run" error. This has happened when the console simply needs a refresh, so refresh your browser and open the run again before assuming the run itself is broken.
Finding the Runs a Recurring Billing Run Created
Rhythm links each recurring billing run to every individual run it creates, including runs created by cloning one of those runs. There is currently no Console page that lists a recurring run's created runs directly. From the billing overview, your closest option is to search by name, because recurring runs commonly reuse a recognizable name, and by run date.
Start a New Run from Here
You can also start a new run from the billing overview. Select Create Billing Run at the top of the page, next to the two figures, to open the billing run wizard.
