When a member calls about the portal, it helps to see the portal the way they do. Login to Portal opens your Rhythm account’s member portal in a new browser tab as that contact, so you can view their profile, organization, and any other pages they can access without using their password.
Open the Portal as a Contact
Prerequisites
- Your role must include permission to log in as a contact. Without that permission, the main Login to Portal button is disabled.
- Your Rhythm account must have at least one portal site set up. If it does not, the button is disabled for everyone.
- Go to Contacts, then open the contact whose portal view you want to see.
- On the contact’s page, choose Login to Portal in the button row beside Edit this Contact and Contact Options.
Result
A new browser tab opens your Rhythm account’s member portal and signs you in as that contact. Your Console tab stays on the contact’s record and is not affected.
By default, the button opens the site set as your Rhythm account’s member portal. If no site is marked as the member portal, it opens the first available site.
Choose a Different Portal Site
If your Rhythm account has more than one portal site, such as a member site and a separate conference site, you can choose the site you want to open as the contact.
- On the contact’s page, select the small arrow beside Login to Portal to open its drop-down.
- Choose one of the listed sites to open it directly, or choose Other... to see every site in your Rhythm account, including sites that are not currently open.
- In the Other... picker, choose a Portal Site and confirm.
Result
The chosen site opens in a new tab, signed in as the contact you started from. Rhythm remembers the site you last chose in this browser and offers it again next time.
What Happens to Changes You Make
Anything you change while signed in this way is recorded under your own staff identity, not the contact’s. The site picker reminds you of this before you continue. If you update the member’s details while viewing the portal as them, that change is later attributed to you in the record’s audit history.
See a Contact's Portal Login Activity
You do not need to log in as a contact just to check whether they have ever signed in. On the contact’s record, this information comes from the same sign-in process that Login to Portal uses:
- Login Count, Last Login, and the sign-in address appear directly on the contact.
- If your Rhythm account has the security tab enabled, that tab lists every portal user linked to the contact, with the same login figures for each. This helps when a contact has more than one portal login, because the fields shown directly on the contact reflect only the first one Rhythm finds.
- From the same Security tab, you can change a portal user's password, manually verify their email address, and generate a reset-password link without needing separate access to the identity provider.
- The Security tab should populate right after a contact's first portal login, not only after several logins.
The Last Login date became more accurate after a change to how login information is stored. Values recorded before around January 2024 are not always accurate, while values from that point forward should be accurate.
If Something Goes Wrong
| What you see | What it means and what to do |
|---|---|
| Login to Portal does nothing when you press it | Your Rhythm account has no portal site that is currently open. Use the drop-down’s Other... picker to choose any site, including a closed one. |
| The main Login to Portal button is disabled | Your role does not include permission to log in as a contact. Ask an administrator to grant it. |
| Login figures on the contact's record look wrong for a contact who has more than one login | The contact page shows only the first linked login it finds. If your Rhythm account has the security tab enabled, check that tab to see each login separately. |
