The Accreditation Query Center gives you nine starting points for building lists and reports. Each starting point uses a different group of records, so you can choose the right base query instead of rebuilding the same connections yourself. This reference explains what each starting point includes and which columns appear by default. A field can be available as a criterion or output column even when it does not appear on the record page, is not listed under Custom Fields, or has been removed from an edit form. For help adding conditions, choosing columns, running a query, and downloading or saving results, see Design and Run a Query.
Prerequisites
- Your role must allow you to run Accreditation query types before you see them in the Query Center.
- Each starting point is limited to your own Rhythm account, so you never see another account’s records.
- Every starting point shows records as they exist today; they cannot show what a contact’s or school’s accreditation looked like in the past.
Opening the Query Center
- Go to Accreditations › Queries.
- Choose New Query, then pick one of the nine starting points described below.
Tip
When you open a KPI such as Active Schools, Provisional Schools, or Candidates as a query, the results include Bulk Changes so you can update many records at once.
The Nine Starting Points
| Starting point | Category | Joins | Default columns |
|---|---|---|---|
| Accreditation Contacts | Accreditations | The school’s accreditation, its organization, the organization’s membership, and any team candidacy | Name, email address, organization name, current phase |
| Accreditations | Accreditations | The school organization | Name, current phase, status |
| Activities | Accreditations | The accreditation and, through it, the school | Name, date, status |
| Evaluations | Visits | The accreditation and, through it, the school | Organization name, visit name, date |
| Reports | Visits | The accreditation and, through it, the school | Organization name, visit name, date |
| Team Candidates | Visits | The contact, the contact’s individual membership, and the contact’s school | Name, email address, organization name |
| Team Members | Visits | The contact, the accreditation, the school, and the visit | Name, accreditation name |
| Team Members (by role) | Visits | The contact and the team role | Contact name, role name, number of teams, most recent visit |
| Visits | Visits | The accreditation and the school | School name, type, start date |
Tip
Use Accreditation Contacts when you need people at accredited schools in the same list as their school, the school’s accreditation, and its membership.
Warning
Evaluations and Reports show a visit name column by default, but they do not join to the visit record behind that name. If the column is blank, or the query does not run the way you expect, add your own condition or column instead of relying on the default visit name.
A few starting points need extra context so you can choose the right fields and understand the results.
Accreditations. Current Phase can behave unexpectedly. In some new queries, the default output field has shown no values, and filters on Current Phase have returned no records even when matching accreditations exist. If either happens, add the Current Phase output field yourself instead of relying on the default, or filter by Current Phase ID instead. This starting point can also include organization contact-role details for a school’s contacts in specific roles, including a role’s name, email address, and phone number. If an older saved query does not show those fields, build a new query rather than reusing the old one. An inactive accreditation’s status is queried as a blank value, not as an explicit “inactive.” A date field here can use a different label than the one shown on the accreditation record, so if you cannot find a date field by its on-screen name, look for it under its underlying record name too. If a record you expect is missing, check whether the date filter is based on when a status was first recorded rather than when you noticed it, and widen the date range if needed. After a phase advancement, give the query a little time to catch up because the accreditation record can show the new phase before query results do.
Visits, Evaluations, and Reports. The Visits starting point includes fields from both the visit record and the related accreditation record, so confirm which record a field belongs to before you rely on it. In Reports, a search for fields such as Status or Status Reason can return similarly named items grouped together, with some referring to the report and others to the accreditation. Choose the field from the record you mean to report on.
Team Candidates and Accreditation Contacts. A team candidate tied to a visit and an accreditation contact tied to an accredited organization are separate relationships. A person can appear in one, the other, or both. Two saved queries with similar status criteria can return different counts when one starts from Team Candidates and the other starts from Accreditation Contacts, because they begin with different groups of people. Team Candidates also includes a Membership (candidate) field group, so you can use membership status and membership expiration date directly as criteria or output fields. If you still need cross-application membership status that is not exposed this way, an accreditation-specific custom field storing an active-or-not flag can stand in as a query criterion.
Team Members. This starting point includes a Roles field that lists each team member’s role names, which is useful when you need role context without the full role-by-person breakdown in Team Members (by role). Selecting a team member in the results opens the related Site Visit 360 page. The Name shown here is copied to the team-member record when it is created, so it does not update if the person’s CRM contact name changes later. Use the related Contact → Full Name field when you need the person’s current name. Some output fields on this join, including assignment details and notes, have at times returned blank, and some field combinations have caused the query to time out. If that happens, try removing or replacing the field in question. If you find rows with no linked contact, add the Contact ID output field, sort or filter for the blank ones, and use the visit and name details still on the row to identify and reassign the right person.
If a query row has no record behind it at all, so it appears in results but will not open, you can usually remove it with mass delete as long as nothing else still points to it. If a CRM contact query does not offer the accreditation columns you need, export the results, add those columns and values yourself, and bring the file back in through mass update.
Some older accreditation reporting surfaces have been retired. If a report you used to run is missing rather than moved, it may be gone instead of relocated. Recreating it may require a request through this newer Query Center.
Reporting on Team Service by Role
Team Members (by role) answers a question the other starting points cannot: how many times each person served in each visiting-team role, and when they served most recently. It shows one row for each contact and role, with the count of teams served in that role and the date of the most recent visit in that role. If you previously built a custom query for this need, you no longer need it because this starting point now covers the same information.
Warning
The "# of Teams" column is stored as text, not as a number. If you sort or filter by it, results like 10 sort before 9. Treat this column as a label, not as a number you can compare with greater-than or less-than conditions.
Use this starting point when you need to see how often a particular person chaired a team, or how experienced your pool of team leaders is. A custom query built from Team Candidates alone cannot show role history the way this one does.
Separately, when Accreditation is enabled, a contact query in the CRM Query Center can include output fields for Number of Teams, Most Recent Visit, and Candidate Status. Rhythm provides one labeled set per active program, so the field chooser offers as many sets of these fields as your account has active programs.
