System & Security › Data Statistics shows how many records your Rhythm account holds. It lists Rhythm's storage tables, shows each table's record count, and identifies each table as your organization's data or configuration. Use this screen to size your Rhythm account before a migration, confirm that an import landed, or compare Rhythm with another system. The screen is read-only, so viewing, sorting, filtering, or refreshing it does not change your data.
How the Counts Are Made
When you open the screen, Rhythm counts the records in every table for your Rhythm account. Large Rhythm accounts take longer to count, so you see Compiling data statistics... this might take a minute or two... while Rhythm finishes. The counts are exact for that moment, and Rhythm does not store or reuse them. Open the screen again, or choose the refresh button, when you need current counts.
The Table
| Column | What it shows |
|---|---|
Table/Service | The storage table name. These are Rhythm's internal names for where records are kept, so they do not always match the application names you see. |
Classification | Data or Configuration, described below. |
Record Count | The number of records your Rhythm account has in the table, with thousands separators, such as 1,234. |
Select a column heading to sort by that column, then select it again to reverse the order. Before you sort, Rhythm lists tables by name. All listed tables appear on one page. The footer, such as 42 total, counts the rows shown, not the records in those rows.
Data and Configuration
Every table has one of two labels:
- Data is your organization's business records, such as contacts, organizations, invoices, and registrations.
- Configuration is how your Rhythm account is set up, including settings, custom fields, templates, and similar definitions.
These labels also tell other tools what to treat as configuration. When you wipe sandbox data, Rhythm keeps configuration tables, and configuration snapshots include only configuration. If a table holds both kinds of records, it still has only one label.
The Controls
| Control | What it does |
|---|---|
| Refresh (a button with a sync icon and no text, at the left) | Counts the records again. Rhythm shows the loading message instead of the table until the new counts arrive. Your Show: choice and filter stay the same. |
Show: Both data & configuration, Data only, Configuration only | Narrows the table by classification. Each visit starts on Both data & configuration. |
Filter box, Enter search filter | Shows only tables whose name contains what you type. Type in lower case, because the filter matches only the lower-case letters of a table name. The box is empty on each visit. |
When nothing matches, the table reads No data to display and 0 total.
What the Screen Leaves Out
- Empty tables. Tables with no records for your Rhythm account are not listed, so an application you expect may simply have no records.
- Tables that could not be counted. If one table's count fails, Rhythm leaves it out without showing a warning, so the list can look complete even when it is not. If a table you expect is missing, refresh and check again.
- Totals and grouping. The screen does not show a grand total, totals by classification, or grouping by application.
- The time of the count. The screen does not show when it counted. If you have left it open, refresh before you rely on the numbers.
If the Screen Does Not Load
If Rhythm cannot load the counts, Unable to load table statistics appears with the reason, and the loading message stays on the screen. The refresh button is hidden while that message shows, so reload the page to try again. If it keeps failing, contact Rhythm Support with your Rhythm account name, the time, and the reason shown.
The Same Counts When Wiping a Sandbox
In your sandbox, System & Security › Data Imports offers a data-wipe option. The window lists the data tables with their record counts, using the same count as this screen, and every table starts selected. Wiping erases the selected tables' records and cannot be undone. For how sandboxes relate to your live account, see Your Rhythm Account, Customers, and Sandboxes.
Other Record Counts Rhythm Keeps
Separately from this screen, Rhythm keeps stored counts of each Rhythm account's records in each table for reporting and support tools:
- Every Sunday, Rhythm counts every table exactly.
- From Monday to Saturday, Rhythm updates those counts by adding records created since Sunday and subtracting records removed since Sunday, without counting again.
- If your Rhythm account's first records in a table arrive after Sunday's count, that table's stored figure appears only at the next Sunday count.
The Data Statistics screen always counts again, so it does not show these stored counts. A stored-count figure can differ from what the screen shows, especially late in the week. When they differ, the screen's figure is current. Portal members cannot read the stored counts, and changes to them are not recorded in the audit history because they change automatically every day. See Audit History: What Is Recorded and How to View It.
A similar mismatch can show up on the Contacts overview KPI, where the KPI total can lag behind a contact query's result count. Select the KPI's refresh icon to bring it in line with the query before you treat the two as disagreeing.
